About the Role
Interluxe Auctions is hiring a Transaction Coordinator to support our luxury property auctions by managing transactions through the flow of contracts, coordinating timelines, onboarding clients, and ensuring the seamless execution of our marketing campaigns through auction to the closing table. You’ll work closely with buyers, sellers, agents, title agents, escrow officers, and internal teams to keep auction projects on track and compliant from start to finish.
This is an ideal role for detail-oriented professionals with experience in real estate transactions, legal administration, or operations — and a passion for managing complex projects with precision and professionalism.
What You’ll Do
- Manage and maintain contract templates, ensuring they are accurate and up to date with the latest terms, conditions, and branding.
- Distribute contracts to customers, track execution status and follow up with clients and agents to ensure timely completion.
- Maintain organized records of all due diligence, agreements, and legal documents across multiple systems (HubSpot, MS Teams, OneDrive, Asana).
- Serve as the main point of contact for new seller clients during on boarding.
- Coordinate collection of required due diligence materials (e.g., title, surveys, HOA documents, disclosures).
- Collaborate with sales, marketing, and management teams to ensure property information packages are complete and auction-ready.
- Upload and maintain up-to-date due diligence documents on the website for each property and auction.
- Oversee buyer registration process by reviewing and approving required documentation in line with auction requirements.
- Manage and track bidder deposits in coordination with escrow agents as part of the buyer registration and qualification process.
- Coordinate execution of buyer contracts post-auction and confirm receipt of earnest money deposits.
- Act as liaison with escrow agents, title companies, and attorneys to ensure all parties are aligned for a successful closing.
- Oversee auction transaction timelines, ensuring deliverables are completed on time and key dates are met.
- Manage internal checklists, track progress in the company CRM and project management software, and proactively communicate with stakeholders to keep projects on schedule.
- Identify and resolve operational bottlenecks to ensure a smooth and efficient closing process for all parties.
- Support internal reporting with timely updates on transaction status and closing documentation.
What We're Looking For
- 3+ years of experience in real estate transaction coordination, escrow/title administration, legal support, or project management
- Excellent organizational and time management skills, with the ability to handle multiple concurrent deals and deadlines
- Strong communication skills and comfort working directly with high-net-worth clients and professional partners
- Familiarity with real estate contracts and closing processes (luxury real estate or auction experience a plus)
- Proficiency in project management software, Microsoft Office, and CRM platforms (HubSpot experience is a strong plus)
- Paralegal certification is a major plus
- Real estate license or prior industry experience is highly preferred
- Self-starter with a problem-solving mindset and the ability to work independently in a fast-paced environment
- The ability to communicate internally with memes and gifs is an added plus
