Job Summary
The Payroll and Payroll Tax Administrator supports Payroll Supervisor for managing and overseeing all aspects of payroll processing and payroll tax compliance. This role ensures accurate and timely wage payments, maintains payroll records, and handles payroll-related inquiries. The administrator will also be responsible for preparing and filing payroll tax returns, ensuring compliance with federal, state, and local tax regulations.
Responsibilities:
- Process payroll for all employees, ensuring accuracy and timeliness.
- Maintain payroll records and update employee information as needed.
- Prepare and file payroll tax returns, including federal, state, and local taxes.
- Ensure compliance with all payroll tax regulations and stay updated on changes in tax laws.
- Support Payroll Supervisor in responding to payroll-related inquiries from employees and management.
- Collaborate with HR and Finance departments to ensure seamless payroll operations.
- Assist in the development and implementation of payroll policies and procedures.
- Support regular audits of payroll records to ensure accuracy and compliance.
- Provide support during internal and external audits related to payroll and payroll taxes.
- Accurately process and reconcile all payroll tax withholdings and liabilities for multiple jurisdictions.
- Prepare and file federal, state, and local payroll tax returns, including quarterly (Form 941) rate updates and annual (Form W-2, W-3) filings.
- Manage tax registrations for new jurisdictions and maintain up-to-date company profiles with tax authorities.
- Research and resolve tax notices, discrepancies, or issues with taxing authorities in a timely manner.
- Reconcile payroll tax general ledger accounts monthly and prepare necessary journal entries.
- Assist with year-end payroll processing, including W-2 corrections and amended returns.
- Partner with internal Payroll, HR, and Accounting teams to ensure accurate data flow and reporting.
- Respond to internal and external inquiries regarding payroll or payroll tax issues.
- Process off-cycles and on-demand checks if needed.
- Knowledge of CA termination compliance policies.
- Knowledge of bi-weekly timekeeping, including weekly monitoring and resolution of timekeeping errors.
- Identify process improvements to enhance the efficiency and accuracy of payroll and payroll tax operations.
Qualifications & Requirements:
- Associate’s or Bachelor’s degree in Accounting, Finance, Business Administration, or a related field (or equivalent experience).
- 5+ years of experience in payroll tax and payroll processing, preferably in a multi-state environment.
- Strong knowledge of federal, state, and local payroll tax laws and regulations.
- Proficiency with payroll systems (e.g., SAP, ADP, Workday, Ceridian) and Microsoft Excel.
- Exceptional attention to detail, organizational skills, and problem-solving abilities.
- Ability to work independently and prioritize tasks in a fast-paced environment.
- Strong written and verbal communication skills.

Preferred Qualifications:
- Experience with SAP SuccessFactors Payroll and SAP Time
- CPP (Certified Payroll Professional) or FPC (Fundamental Payroll Certification) certification.
- Experience with payroll tax compliance for large, multi-state employers.
- Knowledge of international payroll tax compliance (if applicable).
Salary Range: $90,000- $118,000 DOE + potential annual bonus + comprehensive benefits package
