About the Role
We’re hiring a People Operations Specialist to take full ownership of our immigration program. They will also lead the charge in supporting and owning various elements of people operations, HR systems, and data integrity. This is a critical role at the intersection of people, legal, and systems. You’ll own sensitive, high-impact work that supports immigration filings, policy alignment, audit readiness, systems migration benefits, and HR systems hygiene.

This role requires someone who can operate with precision and discretion. You will build scalable internal processes, tighten risk exposure, and improve internal tools to support how we onboard, classify, and support employees across multiple geographies.

This position is hybrid 3 days onsite in our Mountain View, CA office

What You’ll Do

Immigration (60%)

  • Own all immigration operations across H-1B, O-1, L-1, STEM OPT, green card (PERM/I-140), and dependent filings

  • Lead H-1B cap season execution, including resume intake, job description reviews, wage surveys, and signature workflows

  • Act as the primary liaison between immigration counsel, employees, and managers

  • Maintain all case trackers, visa expiration logs, and internal timelines with precision

  • Review and draft job descriptions for compliance with government wage and classification standards

  • Manage and track all LCA postings in accordance with DOL requirements

  • Define and maintain SOPs around immigration workflows, internal reviews, and legal sign-offs

  • Partner with recruiting and legal to align immigration needs with hiring plans and compensation leveling

  • Help develop immigration-related policies and training for internal teams

People Operations (40%)

  • Maintain and operationalize our I-9 program, including reverification, remote completion, and audit prep

  • Partner with Legal and Security to lead SOC2 readiness tasks related to People systems and documentation hygiene

  • Drive job classification reviews and contractor risk audits with Finance and Legal

  • Build and maintain a single source-of-truth for policy documents, SOPs, and workflow diagrams

  • Monitor federal, state, and compliance updates and propose process or policy updates accordingly

  • Collaborate with the BD Ops teams to ensure consistency across U.S. and international HR data

  • Support benefits, COBRA, 401k, enrollment processing, vendor coordination, and internal education

  • Build or contribute to compliance-related dashboards and reporting to improve visibility and planning

What You Bring

  • 3–5 years of experience in People Operations with a clear focus on employment-based immigration, including direct ownership of case execution and counsel coordination

  • Hands-on experience managing H-1B, O-1, STEM OPT, L-1, and PERM (I-140) processes in-house. Not just gathering documents, but driving timelines, document accuracy, and partner alignment

  • Strong understanding of wage-level documentation, SOC2, DOL posting requirements, and how to build audit-ready immigration records

  • Familiarity with legal processes and terminology related to employment-based immigration—prior experience as a paralegal or in legal operations related to immigration is highly valued

  • Experience supporting and maintaining an I-9 program, including reverification workflows, document retention, and audit readiness

  • Proven ability to track complex cases across multiple deadlines and systems, maintaining clean, reliable records

  • Comfortable working in HR systems such as Rippling, Zoho, or similar tools to manage employee data, update statuses, and pull immigration-related reports

  • Excellent attention to detail and a methodical approach to compliance, documentation, and cross-functional coordination

  • Clear communicator who can explain immigration steps and requirements to employees, managers, and internal partners with confidence and care
