ABOUT THE ROLE
The Executive Assistant to the CEO plays an important role supporting the CEO with high-level administrative responsibilities. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.
WHAT YOU WILL DO
· Book, manage, and track travel details, adjusting in real-time as required.
· Provide forward-looking calendar management, focusing on internal and external customer service.
· Proactively plan, organize, schedule and implement client events, conferences, business luncheons and dinners.
· Complete correspondence and manage CEO’s email inbox effectively.
· Arrange and handle all logistics for meetings; draft agendas; develop, compile and distribute presentation materials for each meeting. Anticipate CEO’s needs in advance of meetings and conferences.
· Notarize documents as requested.
· Manage Concur expense reporting.
· Organize and document contacts in Outlook and interactions via CRM inputs as appropriate.
· Manage meeting agendas, general reports, and timelines as needed.
· Work closely with other administrative staff for backup support and coordination of schedules.
· Work on special projects as needed.
Requirements
WHAT YOU BRING
· Bachelor’s degree is highly desired with at least 5 years of experience supporting C-level executives.
· Experience working in the real estate or construction industry is helpful
· Must be excellent at taking a highly proactive approach to the CEO’s needs.
· Highly proficient in MS Word, Excel and PowerPoint.
· Must have a high attention to detail and a strong ability to multitask in a fast-paced environment.
· Ability to switch gears in a moment’s notice.
· Ability to maintain a high level of integrity and discretion in handling confidential information.
· Must be available outside of normal business hours as needed.
