Who You Are:


A highly organized and detail-oriented Executive Assistant to provide personalized administrative support to the CEO of Zūm. This person will be responsible for scheduling internal and external meetings, coordinating travel arrangements, facilitating communication and information flow, and handling some personal/familial tasks from time to time. The ideal candidate is a motivated self-starter with a strong sense of urgency and experience working for a high-level executive.

What You'll Do:
  • Manage day-to-day scheduling, coordination, and meeting logistics, acting as the liaison between our CEO and both internal and external stakeholders
  • Organize and orchestrate staff and team meetings and other group events, including offsites for our Executive Team
  • Helps organize and coordinate company All-hands meetings. Ensure all-hands speakers are prepared
  • Organize process to collect and track Leadership OKR’s and critical followed up actions that impact the business 
  • Handle confidential documents, information, and meetings with discretion
  • Anticipate CEO’s needs and identify problems and solutions proactively
  • Willingness to take on special projects as needed 
  • Spend 15-20% of time helping to coordinate the personal and familial tasks that impact the CEO’s role. For example, scheduling medical appointments, ensuring family related events  do not conflict with work meetings/events, and helping to research and coordinate family related travel.


What You Bring To Zūm:
  • 8 + yrs of experience as an executive assistant
  • Highly organized, with the ability to manage multiple priorities and schedules in a fast-paced, ever-changing environment
  • Business centric - develops a deep understanding of both Company and CEO priorities in order to provide proactive support 
  • Skilled in written and verbal communication, including drafting messages and presentations
  • Presence and composure when dealing with diverse groups of people, including investors, board members, senior executives, and other Zum team members
  • Ability to complete a high volume of tasks and projects with little or no guidance 
  • Can spot inefficiencies, improve processes, and drive projects/programs to improve the effectiveness of senior executives.
  • Thrives in a startup culture and is comfortable wearing multiple hats.
  • Builds strong and authentic relationships with diverse groups of people.
  • Willing and able to match CEO schedule when working in the Bay Area (E.g. is able to work from Redwood City when CEO plans to be in the office for meetings, interviews, etc).

The targeted base salary range for this role is listed in the compensation section below. Actual salary may be above or below this range based on factors such as location, skills, and relevant experience. In addition, this position may include additional compensation in the form of bonus, equity, or commissions. The targeted pay range for this role in US CA: $149,000k-182,000k
