RESPONSIBILITIES
The responsibilities of the Executive Assistant role include, but are not limited to:
Executive Support & Office Management
- Provide high-level administrative support to the Visionary, managing both professional and personal calendars, emails, and priorities.
- Coordinate business and personal travel, including accommodations, itineraries, and related logistics.
- Handle meal planning, office lunch orders, and personal errands (e.g., trophy pickups or special requests).
- Oversee the Executive Suite, including supplies, mail (business and personal), and general upkeep.
- Support light bookkeeping, expense tracking, and use of tools like Google Calendar, Outlook, and QuickBooks.
- Operate with a high level of autonomy, ensuring smooth daily operations without the need for micromanagement.
Meetings & Communication
- Facilitate internal meetings, including synchronization meeting sessions, with clear agendas and tracked follow-ups.
- Act as a liaison across departments to coordinate updates, reports, and cross-functional communication.
- Demonstrate strong verbal and written communication skills with professionalism and clarity.
- Emotionally intelligent, clear communicator, and strong relationship builder.
- Actively listen, ask questions to confirm direction, and communicate with confidence.
Process, Projects & Documentation
- Create and manage efficient administrative processes and SOPs to drive consistency.
- Conduct targeted research based on defined criteria (e.g., software solutions), compiling organized summaries and key company information to support decision-making.
- Comfortable using Zoho & Ninety.io to track workstreams and follow-ups.
- Prepare clean, professional reports, presentations, and summaries using Google Workspace.
- Perform accurate data entry, spreadsheet management, and basic analysis in platforms like Zoho.
Work Style & Environment
- Work independently with sound judgment approximately 60% of the time, requiring minimal oversight during those tasks.
- Adapt quickly to shifting priorities and maintain poise in high-pressure environments.
- Bring initiative, curiosity, and clarity-seeking habits to prevent assumptions and drive follow-through.

QUALIFICATIONS
Required
- Minimum 2 years of experience supporting executive leadership in a fast-paced entrepreneurial environment
- High-level computer proficiency, including Google Workspace (Docs, Sheets, Slides), keyboard shortcuts, and general tech savviness
- Strong written, verbal, and interpersonal communication skills, with a professional tone and active listening.
- Proven ability to manage multiple priorities independently, with strong attention to detail under pressure.
Preferred
- Experience working with CRM platforms, such as Zoho
- Minimum 4 years of professional experience in business administration, office management, communications, or related discipline
- Event coordination experience, including scheduling travel, booking hotels, and organizing logistics
Desired
- Familiarity with the Entrepreneurial Operating System (EOS) or similar business frameworks
- Professional certifications in executive assistance, typing, or administrative support
- Minimum 6 years of professional experience in business administration, office management, communications, or related discipline
