Job Description

What is it all about?

Office Manager will oversee operations and team running 3-4 sites in Central Warsaw.

Managing a team of 3-4 contractors day-to-day, plus suppliers and other contractors.

 

What we expect of you, day to day:

  • Operations

    • Maintain a safe and secure working environment respecting all health & safety regulations (Visa rules and regulations, Spanish labor law), implementing all required trainings and drills

    • Effectively and successfully respond to problem situation

    • Management of special situations (pandemics, etc.)

    • DocuSign management for CEE Cluster

    • Reception & management of legal document

  • Security and H&S:

    • Guarantee of clean and safe offices, liaising with the contracted service, and ensuring that they comply with Visa standards (both security and H&S)

    • Point of contact for Security London & Facilities

    • Access

    • Special incidents

    • Correct disposal of confidential waste

  • Facilities:

    • Manage team of administrative support and receptionists

    • Manage relationships: vendors, service providers and landlord

    • Manage Ask Facilities & Condeco use and petitions

    • OM Playbook

    • Supervision and active participation in any facilities renovations or expansions, as well as routine maintenance

    • Maintenance of supplies

  • Finance

    • OPEX budget preparation and fulfillmen

    • Monthly Cashbook for London

    • Tax payments for entity

    • Strong support in audit processes

  • HR

    • Support celebrations & gifts for employees (HR and Admin take the lead)

    • Onboarding of new joiners, from OM perspective

    • Onboarding of external contractors/ BPOs for Facilities

    • Support Corporate Car Fleet

  • Events

    • Facilities logistics, meeting rooms for following events

  • Communications

 

This is a hybrid position. Expectation of days in office will be confirmed by your Hiring Manager.

Qualifications

What we're after...

  • High school completed with relevant certification, diploma or degree in business, management, finance or hospitality (nice to have)
  • 3-5 years of admin and office management experience in very busy and international environment
  • experience in supporting large events, supporting facilities for other Offices/Hospitality/Executive Assistance
  • Great communication skills and working under the pressure
  • English and Polish on Advanced level at least
