Job Summary

  • The Demo Entry Quality Assurance (QA) Specialist is responsible for ensuring the accuracy, completeness, and compliance of patient demographic data entered into the system as part of the revenue cycle management process. This role involves auditing demographic entries, validating data against source documents, and ensuring alignment with payer requirements and internal standards. The QA Specialist works closely with registration teams, billing staff, and compliance personnel to identify and correct errors, support training initiatives, and drive continuous improvement in data quality and workflow efficiency.

Essential Functions and Tasks

Quality Assurance:

  • Conduct regular audits of demographic data entries to ensure accuracy, completeness, and consistency.
  • Verify patient information such as name, date of birth, insurance details, and contact information against source documentation.
  • Identify and document discrepancies or errors in demographic data and coordinate with relevant teams for resolution.
  • Maintain detailed records of audit results, trends, and corrective actions to support quality improvement initiatives.

Compliance Monitoring:

  • Stay informed about payer-specific requirements, HIPAA regulations, and industry standards related to demographic data.
  • Perform compliance checks to ensure demographic entries meet regulatory and organizational guidelines.
  • Collaborate with compliance and legal teams to address data integrity concerns and implement corrective measures.

Training and Education:

  • Assist in developing training materials and conducting sessions for staff on best practices in demographic data entry.
  • Provide feedback and coaching to team members to enhance accuracy and consistency in data entry.
  • Support onboarding of new staff by offering guidance on demographic entry protocols and system usage.

Process Improvement:

  • Identify inefficiencies or recurring issues in the demographic entry process and propose solutions.
  • Collaborate with IT and operations teams to implement system enhancements and automation tools.
  • Analyze performance metrics and audit findings to drive continuous improvement in data quality and workflow efficiency.

 

Education and Experience Requirements

  • Bachelor’s degree in a related field (or equivalent work experience).
  • Minimum of 2-3 years of experience in healthcare data entry, patient registration, or revenue cycle operations.

Knowledge, Skills, and Abilities

  • Strong understanding of healthcare data standards and patient demographic requirements.
  • High attention to detail and accuracy in reviewing and entering data.
  • Familiarity with HIPAA and other regulatory requirements related to patient information.
  • Proficiency in using electronic health record (EHR) systems and data entry platforms.
  • Strong communication and interpersonal skills for cross-functional collaboration.
  • Ability to manage multiple tasks, prioritize effectively, and meet deadlines in a fast-paced environment.
  • Commitment to confidentiality and data integrity.
