Job Description
Turner & Townsend is seeking an experienced Executive Assistant with a minimum of 5 - 8 years post-graduate experience looking for the next step or are currently undertaking a similar role in a similar environment.
This role supports the EVP and Operations Lead for North America. There will be heavy calendar management, meeting planning and travel coordination, among other responsibilities.
Executive Assistant duties to the EVP and Operations Lead:
- Pro-active calendar management and travel coordination for both domestic and international meetings.
- Submit expenses on behalf of the EVP.
- Anticipate needs, pre-empt and resolve issues while prioritizing tasks to proactively support the Sr. Vice President.
- Meeting management: plan meetings and all related operational details (conference rooms, catering, collateral, building access, etc.); draft agenda and minutes; greet onsite guests and escort them to appropriate conference room.
- Support development of presentation content and report development for various meetings and Board meetings.
- Update and maintain organizational chart for the New York office.
- Field and screen incoming phone calls.
- Attend Board meetings and prepare all corresponding Board books, which includes managing reporting timelines with senior Directors across the business.
- Ad-hoc projects as needed.
- SOX control responsibilities may be part of this role, which are to be adhered to where applicable.

Qualifications
Our ideal candidate is discreet, trustworthy and personable. We are looking for someone to represent Turner & Townsend professionally at all times. They must be self-motivated, proactive, highly organized and able to work on their own initiative with minimum supervision. Furthermore, excellent communication and organization skills, and must be able to deal with highly confidential information appropriately.
Skills must include:
- Detail-orientated, highly organized with a flexible and solution-oriented attitude.
- Technically-savvy with the ability to learn systems quickly.
- A positive team player with the ability to deal with colleagues at all levels of the business.
- Culturally-sensitive; able to deal with global stakeholders.
- 5 – 8 years of experience supporting senior executives.
- Proven track record working in a dynamic and demanding environment is necessary.
- Bachelor’s degree preferred.
- Strong aptitude for Microsoft Office Suite (Outlook, Word, Excel & PowerPoint).
Additional Information
The salary range for this full-time role is $180K-$240 per year. Ranges are determined by role and level and represent a good faith effort to provide a fair and equitable salary. This range is a reflection of base salary only, not of a total compensation package. Please note Turner & Townsend reserves the right to pay more or less than the posted range, depending on candidate’s experience and qualifications.
