Job Summary

The Executive Assistant role offers high-level administrative support in a dynamic environment, ensuring the smooth execution of the Chief Executive Officer's daily responsibilities. This position supports the Chief Executive Officer, while also providing secondary assistance to other senior administrators as needed. This role exercises significant discretion and judgment in administrative tasks, taking and summarizing meeting notes, managing schedules for meetings and managing appointments. As well as coordinating and preparing materials that are confidential and sensitive, particularly regarding personnel matters or proprietary business information.

Duties and Responsibilities

  • Manage professional and personal scheduling for the CEO, including agendas, mail, email, phone calls, client management, and other company logistics
  • Coordinate complex scheduling and calendar management, as well as content and flow of information to senior executives
  • Manage travel logistics and activities, including accommodations, transportation, and meals
  • Provide administrative and office support, such as typing, dictation, spreadsheet creation, minor accounting duties and maintenance of filing system and contacts database
  • Document notes from business strategy meetings for future reference in decision-making.
  • Maintain professionalism and strict confidentiality with all materials
  • Organize team communications and plan events, both internal and off-site
  • Other duties as assigned. 

Position Requirements

  • 5+ years of related experience required in working in an executive assistant role supporting C-Level executives.
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Exceptional interpersonal skills and the ability to build relationships with stakeholders, including customers, business partners, staff, board members, external partners and donors
  • Expert level written and verbal communication skills
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability
  • Highly resourceful team-player, with the ability to also be extremely effective independently
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment
  • Excellent computer skills including Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel)
  • Flexible hours as dictated by the needs of business for projects and meetings
  • Ability to travel both domestically and internationally with reasonable notice
  • Forward looking thinker, who actively seeks opportunities and proposes solutions

Preferred Qualifications

  • Bachelor’s degree in Business Administration or a related field
  • Prior experience in an engineering or manufacturing company.

Pay/Salary Information

Salary range for this position is $75,000 - $95,000 Annually
