Job Description

Squiz is looking for a proactive and detail-oriented Business Support Assistant to join our Finance team. This role is vital to our day-to-day business operations, supporting finance, billing, and vendor coordination activities. You’ll be working closely with internal teams and external partners to ensure smooth, accurate, and efficient administrative processes.

This role is ONLY open to candidates in Sydney, Australia, with hybrid working arrangements. 

For this role, we ask that you can demonstrate the following experience and attributes:

  • Excellent communication skills, both verbal and written (you will spend some of your time on the phone as well as emailing etc)
  • Strong attention to detail and accuracy
  • A methodical and well-organised approach to work and processes
  • Strong time management skills with the ability to prioritise tasks effectively
  • Proficiency in Microsoft Office Suite (especially Excel, Word, and Outlook)
  • Ability to work independently and as part of a team
  • A proactive and solution-focused mindset
  • Comfortable handling confidential or sensitive information with discretion
  • Confidence in using business systems, such as ERP or expense management platforms

Nice to have

  • Experience in debtors' collections, including customer follow-up and cash collection processes
  • Familiarity with ERP systems (Sage Intacct)
  • Basic knowledge of accounts payable and purchase order processes
  • Previous experience with expense claim processing
  • Customer service experience in a finance or administrative environment
  • Ability to adapt to new software and technology quickly

What you would do (the role day to day): 

  • Create digital billing records based on customer orders
  • Generate and send weekly customer invoices
  • Call customers to follow up on outstanding payments and ensure timely collection
  • Liaise with customers to stay informed about their billing requirements
  • Enter vendor invoices into the ERP system
  • Request and follow up on vendor invoice approvals from internal stakeholders
  • Import approved expense claims from the expense management system into the ERP
  • Manage and maintain the ERP purchase order system as required

Overarching program of work

  • Lead an overarching program of work to identify improvements in the billing process, with a focus on collating and developing comprehensive customer payment profiles
  • Analyse current billing procedures and provide actionable suggestions to enhance efficiency and accuracy
