Position Summary
The Advancement Data Coordinator plays a vital role in supporting the mission and fundraising efforts of the School by managing the integrity and functionality of the donor database by accurately maintaining constituent records and generating and analyzing reports to support donor stewardship and strategic advancement initiatives. All employees are expected to demonstrate patience, humility, integrity, and kindness while performing the day-to-day duties of the role and to prayerfully work with administration, faculty, students, and families to develop and maintain a school which is distinctively Christian, academically excellent, and globally minded.
Essential Job Responsibilities
- Add and maintain constituent records in Raiser’s Edge NXT for donors, prospects, and other stakeholders to reflect changing constituency and donor lifecycle stages, ensuring accurate segmentation
- Enter and process incoming donations (Annual Fund, Athletics, Arts Guild, Events, Sponsorships) in Raiser’s Edge NXT, including high-volume transactions from major fundraising appeals
- Collaborate with Finance Department to reconcile donation records
- Generate standard reports to support fundraising strategies, donor stewardship, and financial auditing
- Create queries, new reports, and data extracts for other scheduled and ad hoc requests
- Compile and segment mailing lists for donor communications, appeals, and events, ensuring compliance with privacy regulations
- Extract organizational data (admission, enrollment, advancement) and enter into NAIS DASL (Data Analysis for School Leadership)
Requirements
Educational & Experience Requirements
- Bachelor's degree preferred
- 2+ years of experience working with Raiser’s Edge NXT or a similar CRM database in a nonprofit or fundraising environment
- Strong knowledge of Google Workspace and Microsoft Excel
- Familiarity with FACTS student information system preferred

- Cooperates with administrators, department chairpersons, and other school leadership to implement policies and procedures as they pertain to the daily operation of the School
- Follow Matthew 18 principle in dealing with conflict with parents, staff, and administration
- Demonstrates the ability to accept and carry out responsibilities and make competent, professional decisions
- Eagerly participates in professional development activities and the evaluation process with a desire to grow professionally, spiritually, and personally throughout the career in education
- Maintains a professional personal appearance that is a Christian role model of cleanliness, modesty, good taste, and is in accordance with school policy
Work Environment
The work environment at Southwest Christian School is consistent with a typical school setting. The employee normally works indoors but may be required to be outdoors in unpredictable temperatures to monitor playground activities, attend programs and field trips, or move between buildings. The noise level in the environment is usually low to moderate but may become loud occasionally. The employee is frequently required to interact with others within the school community, including parents and other caregivers.
