Job Description

The Red Gate Group is seeking a mission-focused Senior Executive Assistant to provide high-level administrative support to the Office of Naval Research (ONR) in Arlington, VA. This is a critical role supporting senior leadership within a dynamic R&D environment that advances cutting-edge science and technology solutions for the U.S. Navy and Marine Corps.

As the right hand to ONR executives, you will ensure smooth daily operations by managing schedules, coordinating high-profile meetings and visits, overseeing complex travel arrangements, and ensuring timely and accurate communications. Your attention to detail, organizational strength, and discretion will directly contribute to their mission of enhancing human performance, artificial intelligence, autonomy, and medical readiness across the Naval enterprise.

Key Responsibilities:

  • Manage and deconflict calendars for multiple senior-level executives

  • Prepare, review, and route executive correspondence using government formatting standards

  • Coordinate logistics for protocol visits, VIP engagements, and official events

  • Oversee travel planning and execution through the Defense Travel System (DTS), including authorizations, vouchers, and approvals

  • Serve as a reviewing official for DTS submissions and provide guidance to junior administrative staff

  • Maintain filing systems and track time-sensitive documents, actions, and reports

  • Operate with discretion, professionalism, and confidentiality when handling sensitive information

  • Train and mentor team members on DoD administrative and travel policies

Qualifications

Minimum Qualifications:

  • Active SECRET clearance

  • Bachelor’s degree and 5+ years of senior-level administrative experience in a DoD environment, or high school diploma and 10+ years of equivalent experience

  • 5+ years supporting DoD leadership and navigating DoD organizational structures

  • Proficient in DTS, with at least 2 years as a reviewing official

  • Demonstrated ability to independently manage executive calendars and protocol events

  • Strong written and verbal communication skills

  • Familiarity with DoD travel regulations and correspondence procedures

Preferred Qualifications:

  • Experience leading and training admin staff on government procedures

  • Background in organizing filing systems and analyzing administrative workflows
