- The salary for this position is £14,000.00 - £15,000.00 per year, offered on a part-time basis at 20 hours per week.
- Flexible working around the hours of 9am-2pm, Monday - Thursday
About the role
Join our Facilities team in Brighton as a Facilities Coordinator, where you’ll support the smooth running of our buildings and services across the UK. You’ll be a key part of a fast-paced, hands-on team, helping to deliver excellent service to colleagues while ensuring our spaces are safe, efficient, and welcoming.
- Assist the Facilities team with project and contract management, including preparing tender documents and supervising contractor work to ensure quality and follow-up on any issues.
- Support the Facilities Helpdesk and email inbox, ensuring clear communication with staff and team members, and delegating workloads across the team and contractors.
- Maintain accurate records of the asset register across all UK sites, book maintenance and service visits, and ensure legal documentation and certificates are up to date and compliant with health and safety procedures.
- Manage invoices using our PO system, ensuring suppliers are paid correctly and expenses are accurately coded for budgeting.
- Work alongside the Facilities and Health & Safety Officer to support compliance, including site inspections, fire and first aid checks, and reporting any hazards.
- Respond to issues related to Reception, Facilities, and Health & Safety, acting appropriately in emergencies or urgent situations.
- Support Reception during busy periods or when covering holidays and sickness, including greeting visitors, answering phones, and handling post.
- Ensure the highest standards of customer service are delivered at all times.
- Suggest improvements to current processes and ways of working.
- Build positive working relationships with colleagues across all departments, including managers and directors.
