The Research Program Coordinator will play a key role in supporting the Medical Director of the research program by managing day-to-day operations across Oncology Consultants’ research department, including coordination with the PI company, clinic and administrative schedules. This position oversees moderately complex, program-oriented assignments, provides high-level administrative and project support, and ensures efficient execution of research-related initiatives. The coordinator must be proactive, detail-oriented, and capable of managing multiple priorities simultaneously. Reporting to senior management, this role includes project coordination, compliance tracking, data analysis, and implementation of department initiatives. The Research Program Coordinator also serves as a key resource in supporting the rollout of new projects and ensuring progress aligns with established timelines and milestones.
Requirements
ESSENTIAL FUNCTIONS:
- Supports management in planning program initiatives to ensure program goals are met.
- Assists in developing outreach and communications strategies and plans, including assessing needs and opportunities related to all external outreach, marketing, and communications within the scope of the role.
- Facilitate open, professional (verbal, nonverbal, written) communication to achieve mutual understanding. Communicate clearly and professionally to promote work efforts and problem resolution, providing the highest quality service.
- Coordinates discussions between multiple client groups and stakeholders across various management levels, both internal and external. Communicates results clearly and concisely and provides progress reports organized and consistently. Prepare meeting minutes and meeting materials as requested.
- Perform administrative and operational activities of a complex nature as appropriate. Maintains confidential documents, prepares agendas for matters of consideration at meetings, establishes priorities and deadlines for completion of projects
- Conserves management's time by reading, researching, collecting, and analyzing information. Prepares materials for formal or informational presentations.
- Ensures the quality and timely execution of deliverables. Coordinates multiple deadlines related to the project scope, requiring resources including, but not limited to, reports and presentations. Thoroughly tracks all related activities and maintains associated paperwork, files, and calendar documentation. Forecasts potential schedule delays and develops alternate plans.
FINANCE ESSENTIAL FUNCTIONS
- Understands project objectives, information, and ideas presented and delineates plans to achieve deliverables in a specific, measurable, attainable, relevant, and timely manner to assist the program.
- Manages and maintains program-relevant information and documentation needed from conception to completion
- Utilizes resources with cost effectiveness and value creation in mind.
- Self-motivated to independently manage time effectively and prioritize daily tasks, assisting coworkers as needed.
KNOWLEDGE, SKILLS, AND EDUCATION:
· Minimum Bachelor’s degree in a related discipline with at least two years of prior experience with clinical research and project management
- Proficiency in relevant software programs such as MS Outlook, Word, Excel, and PowerPoint
- Strong verbal, interpersonal, organizational, and presentation skills.
- Works well independently and in team settings.
- Highly organized with demonstrated verbal and written communication skills
- Ability to collaborate and work successfully with all levels of the organization to gain buy-in and support for program success
- Competent skills in change management, planning, execution, and business acumen
- Strong analytical and interpersonal skills
