GENERAL JOB DUTIES:

This position is responsible to provide administrative and clerical support as directed for the Accounting Department including performing office duties such as typing, filing, copying, scanning, faxing and financial record keeping. This person must be willing to train to provide clerical support for the Accounting Department and to provide back up as assigned in the Mail Room Associate and Receptionist positions.


ESSENTIAL JOB FUNCTIONS:

  • Must demonstrate a basic understanding of the company’s accounts payable, accounts receivable and collections functions within a reasonable timeline as determined by supervisor in order to be able to offer clerical assistance in each of these areas as assigned.
  • Maintain records in a confidential and professional manner through filing, retrieval, retention, storage, compilation, coding, updating and purging as required.
  • Must develop a working knowledge of the tasks required to be able to efficiently perform the Receptionist position and the Mail Room Associate position in a back-up role.
  • Punctuality and regular attendance are essential to the success of this position.
  • Must be willing to complete other duties as assigned by supervisor.

REQUIRED SKILLS AND EXPERIENCE:

  • Must be able to effectively communicate with co-workers, customers and vendors in a professional business environment, demonstrating a commitment to providing outstanding customer service.
  • Ability to work in a collaborative manner with all personnel to make sure the department’s assigned tasks are completed timely and accurately.
  • Must possess excellent organizational skills and the ability to multi-task and adjust priorities as necessary in order to meet department deadlines. Must be able to discern when it is appropriate to involve others in validating priorities.
  • Ability to handle confidential information in a professional and respectful manner.

TECHNICAL SKILLS REQUIRED:

  • High School Diploma or general education degree (GED) required. Accounting classes helpful but not required.
  • Must be competent in MSOffice Suite including: PowerPoint, Outlook, Word and Excel.
  • Must possess a good working knowledge of business machines including, phone, fax, scanner, email and 10-key by touch.
  • Must be able to accurately type 50 words per minute.

PHYSICAL REQUIREMENTS:

Average hours per week: 40 (normal work schedule).
