Position Overview:
We are seeking a highly organized and proactive Operations Administrator to support our project management team and ensure the efficient day-to-day operations of our office. This dual-role position blends project coordination, administrative responsibilities, and office management duties. The ideal candidate will be a team-oriented professional with strong communication skills and a passion for organization and execution.

Key Responsibilities

Project Coordination

  • Assist project managers with planning, organizing, and coordinating project activities.
     
  • Schedule meetings, prepare agendas, and track action items to ensure project milestones are achieved.
     
  • Maintain accurate project documentation, including plans, status reports, and meeting minutes.
     
  • Coordinate with team members to ensure timely completion of deliverables.
     

Administrative Support

  • Manage calendars, including scheduling meetings, appointments, and travel.
     
  • Handle all incoming and outgoing correspondence (email, phone, letters).
     
  • Organize and maintain physical and digital files and records.
     
  • Perform general administrative duties such as copying, scanning, filing, and document handling.
     

Communication

  • Serve as a point of contact for internal staff and external clients.
     
  • Provide timely updates and ensure effective communication among team members.
     
  • Communicate deadlines, project updates, and requirements to stakeholders.
     

Resource Management

  • Assist with resource allocation and track project budgets to ensure adherence to scope and costs.
     
  • Monitor project progress, flag issues early, and propose actionable solutions.
     
  • Coordinate with vendors and suppliers to secure necessary project materials and services.
     

Office Management

  • Maintain an organized and efficient office environment, including layout planning and equipment procurement.
     
  • Manage inventory of office supplies and place orders proactively.
     
  • Ensure office procedures and operations run smoothly and efficiently.
     

Meeting Coordination

  • Organize meetings and events, including venue selection, catering, and material preparation.
     
  • Draft agendas, record meeting minutes, and follow up on action items.
     
  • Support clear communication and accountability during and after meetings.
     

Education & Experience

  • High school diploma or equivalent required; additional training or certification in project management or office administration is a plus.
     
  • Previous experience as an Assistant Project Manager or in a similar administrative capacity.
     
  • Must possess a valid driver’s license and be able to travel during daytime or nighttime hours as needed.

Requirements

 

Requirements

  • Proven experience in an administrative or assistant project management role.  
  • Strong organizational, time management, and multitasking abilities.  
  • Excellent written and verbal communication skills.  
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, SharePoint) and project management software.  
  • Understanding of construction processes, safety protocols, and regulatory compliance is a plus.  
  • High attention to detail and accuracy.  
  • Ability to work both independently and collaboratively.
