Position Overview:
We are seeking a highly organized and proactive Operations Administrator to support our project management team and ensure the efficient day-to-day operations of our office. This dual-role position blends project coordination, administrative responsibilities, and office management duties. The ideal candidate will be a team-oriented professional with strong communication skills and a passion for organization and execution.
Key Responsibilities
Project Coordination
- Assist project managers with planning, organizing, and coordinating project activities.
- Schedule meetings, prepare agendas, and track action items to ensure project milestones are achieved.
- Maintain accurate project documentation, including plans, status reports, and meeting minutes.
- Coordinate with team members to ensure timely completion of deliverables.
Administrative Support
- Manage calendars, including scheduling meetings, appointments, and travel.
- Handle all incoming and outgoing correspondence (email, phone, letters).
- Organize and maintain physical and digital files and records.
- Perform general administrative duties such as copying, scanning, filing, and document handling.
Communication
- Serve as a point of contact for internal staff and external clients.
- Provide timely updates and ensure effective communication among team members.
- Communicate deadlines, project updates, and requirements to stakeholders.
Resource Management
- Assist with resource allocation and track project budgets to ensure adherence to scope and costs.
- Monitor project progress, flag issues early, and propose actionable solutions.
- Coordinate with vendors and suppliers to secure necessary project materials and services.
Office Management
- Maintain an organized and efficient office environment, including layout planning and equipment procurement.
- Manage inventory of office supplies and place orders proactively.
- Ensure office procedures and operations run smoothly and efficiently.
Meeting Coordination
- Organize meetings and events, including venue selection, catering, and material preparation.
- Draft agendas, record meeting minutes, and follow up on action items.
- Support clear communication and accountability during and after meetings.
Education & Experience
- High school diploma or equivalent required; additional training or certification in project management or office administration is a plus.
- Previous experience as an Assistant Project Manager or in a similar administrative capacity.
- Must possess a valid driver’s license and be able to travel during daytime or nighttime hours as needed.

Requirements
- Proven experience in an administrative or assistant project management role.
- Strong organizational, time management, and multitasking abilities.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, SharePoint) and project management software.
- Understanding of construction processes, safety protocols, and regulatory compliance is a plus.
- High attention to detail and accuracy.
- Ability to work both independently and collaboratively.
