The JOB:
The Executive Administrative Assistant provides high-level administrative support to the Managing Director, Resort Manager, and Executive Committee. This position is responsible for managing complex schedules, coordinating interdepartmental projects, preparing executive communications, and supporting daily operational needs. The ideal candidate is professional, detail-oriented, and able to handle sensitive information with discretion.
Essential Duties and Responsibilities:
- Provide daily administrative and operational support to the Managing Director and executive department heads.
- Maintain and manage complex calendars, schedule meetings, and coordinate appointments and travel arrangements.
- Prepare internal and external communications, reports, presentation decks, and official correspondence with a high degree of accuracy and professionalism.
- Assist in coordinating departmental initiatives and tracking deadlines across F&B and Engineering teams.
- Serve as a point of contact for internal teams, vendors, and external partners on behalf of executive leadership.
- Organize executive and leadership meetings, including preparing agendas, documenting minutes, and tracking action items.
- Maintain confidential records and files, ensuring data integrity and organizational compliance.
- Process purchase orders, track invoices, and maintain accurate administrative and financial records.
- Support coordination and follow-up of facility-related requests with Engineering.
- Provide logistical assistance for VIP visits, inspections, team events, and key internal functions.
Executive & Departmental Support
- Manage calendars, meetings, and travel for the Managing Director, Director of Food & Beverage, and Director of Engineering.
- Coordinate cross-departmental communication to align priorities and ensure consistent workflow.
- Create and maintain professional documentation and project support materials.
Operational Coordination
- Support administrative needs for Food & Beverage operations, including menu updates, training materials, and event logistics.
- Assist Engineering with inventory tracking, maintenance logs, and coordination of safety meetings.
- Maintain vendor communication, purchase tracking, and supply needs for both departments.
Office & Record Management
- Maintain filing systems for contracts, SOPs, compliance records, and internal communications.
- Order office supplies and manage relationships with service providers and vendors.

Requirements
3+ years of experience in an executive or senior administrative support role; hospitality experience preferred.
· Strong organizational and time-management skills with the ability to multitask.
· Professional demeanor with excellent written and verbal communication skills.
· Proficiency in Microsoft Office Suite, Google Workspace, and hospitality-related software.
· Proven discretion handling confidential information.
· Bachelor’s degree in Hospitality, Business Administration, or a related field.
· Strong interpersonal and communication skills; fluent in spoken and written English.
· Exceptional guest service orientation and ability to handle high-pressure situations.
· Proficient with hospitality systems (PMS, POS, MS Office Suite); knowledge of Opera Cloud or similar preferred.
· Must meet NHHR background screening requirements.
