Fenway Health’s Public Health Department is seeking a detail-oriented and reliable Data Entry Specialist to support data accuracy and integrity across our public health programs. This part-time remote/hybrid role plays a critical function in ensuring compliance with data requirements set by the Massachusetts Department of Public Health (DPH), Ryan White, BPHC, and other grant funders, supporting public health impact evaluation and funding sustainability.


Primary responsibilities:


Data Entry and Management

· Accurately enter client- and service-level data into internal databases and DPH reporting systems in a timely manner.

· Upload required data files to secure state servers per program deadlines.

· Conduct regular audits of data for accuracy, completeness, and consistency.


Data Quality Assurance

· Review and resolve discrepancies or missing data in collaboration with program staff.

· Monitor data for trends that may indicate systemic errors or workflow breakdowns.

· Follow protocols for safeguarding sensitive client data in compliance with HIPAA and internal privacy policies.


Staff Support and Training

· Assist with documenting and maintaining data entry workflows.

· Provide training and technical assistance to program staff on data entry procedures and systems.

· Support onboarding of new staff by delivering data systems orientation, as needed.

· Participates in quality assessment and improvement activities as requested

· Adheres to established safety policies, procedures and precautions

· Attends all required meetings, in-services and professional trainings


Performs other related duties as required

Requirements

  • High school diploma or equivalent
  • Minimum of 1 year of experience in data entry, database management, or administrative support.
  • Strong attention to detail and commitment to data accuracy.
  • Proficiency in Microsoft Office Suites and ability to learn database systems quickly.
  • Excellent time management and organizational skills.
  • Ability to handle confidential information with discretion.
  • Strong communication and collaboration skills.
  • Ability to work harmoniously and effectively with colleagues, patients, and clients across the spectrum of diversity, including but not limited to race, ethnicity, color, gender identity, sexual orientation, age, socio-economic status, national origin and immigrant status, religious or spiritual identity, disability (physical, mental, emotional and developmental), veteran status, and/or limited English proficiency.

Preferred Qualifications:

  • Experience working in a community health or public health setting.
  • Familiarity with Epic and/or Massachusetts DPH data systems (e.g., MAVEN, CAREWare, etc.).
  • Knowledge of HIV/STI prevention and treatment services is a plus. 
  • Associate’s degree or coursework in public health, social work, or data management
