Job Description
As part of Laudes Foundation’s Effective Philanthropy department, the Grant Operations (GO) team is made up of six people based in four countries. The GO team is in charge of the grant life cycle process and as such administers a EUR 225M grant portfolio and ensures organisational effectiveness and procedural compliance. At Laudes Foundation we are constantly striving to improve and innovate our grant operations in collaboration with our grantmaking teams or colleagues from Legal, Finance and IT.
You will report to the Senior Grant Operations Manager, and the majority of your day’s work will be interacting with colleagues online.
As Grant Operations Analyst, you will be the GO business partner to one or several grantmaking teams, providing end-to-end operational support in the grant life cycle, ensuring smooth, professional and compliant grant processing. The role also supports cross-departmental projects to implement best practices around grant management and operations.
Key Responsibilities
Grant Operations. Provide end-to-end operational support in the process of the grant life cycle to the grantmaking team(s). Ensure integrity and quality for a smooth grant process. Provide guidance/ training to grantmaking team(s) on grant cycle process requirements and grant management system (Salesforce). Administer contract creation, review and signing through the DocuSign CLM system and seek guidance from Legal Counsel where required. Activate grants and review Salesforce data entry. Respond accurately and promptly to staff and partners’ process and system inquiries.
Programme Support. Be a trusted partner in supporting grantmaking teams. Manage grants pipeline and track disbursements, reports and grant status. Gather documents for partner due diligence documentation. Manage the bank account approval process.
Grant management system. Optimise, test and document workflows in close collaboration with grantmaking teams, product owner and IT. Collect user feedback. Create and adjust correspondence templates. Control data quality. First line of support to partners and grantmaking teams. Respond to data requests from internal stakeholders.
Training and support. Provide training and continued ad-hoc support to (new) staff on Salesforce, processes, and ways of working. Improve training modules and materials. Assist colleagues and partners in using Salesforce. Manage support email.
Project management. Support grant operation improvement and innovation projects engaging internal stakeholders.
Stakeholder management. Build strong relationships with internal stakeholders to ensure efficient and effective collaboration. Support the preparation of pre-reading for governance meetings. Provide ad-hoc support when needed.
Qualifications
- Must have full working rights in The Netherlands and wilProactive with a continuous improvement mentalityling to commute to our Amsterdam office at least twice a week.
- Bachelor’s degree or equivalent level obtained by work experience.
- Initial experience in grant administration or management, in project or process management or in an administrative field.
- Preferably, experience in an international organisation, philanthropic foundation, or NGO.
- Full proficiency in English
- Excellent organisational skills, strict attention to detail, and ability to meet deadlines
- Excellent communication skills, proactive with a continuous improvement mentality
- Highly result oriented and able to work effectively in a fast-paced, changing environment, handling multiple responsibilities at the same time
- Familiarity with database management software such as Salesforce, or interest in learning new software
- Strong Microsoft Office applications skills
