Responsibilities
The incumbent has supervisory responsibility of preventative maintenance work order scheduling and distribution. The incumbent is also responsible for vendor management/check in processes, project management of Non-OSHPD related projects, supervision/management of contractors, implementation of regulatory compliance policies, tracking and communicating project progress and budget milestones. The incumbent is also responsible for Plant Operations inventory and cost reporting of facility'sactivity's, material ordering, perform purchasing and administrative duties in the Lawson ERP system. Duties may include:
- Performs FM Operations purchasing and requisition duties in the Lawson ERP system
- Performs contracting duties to ensure all vendors and contractors have signed CommonSpirit's contract terms and conditions
- Facilities incoming service calls and enters work orders in the Facility One CMMS
- Performs Project Management/Supervisory duties of contractor/vendor site visits, track and communicates schedule milestones
- Performs QA reviews of water safety plan implementation, daily temperature and humidity rates to ensure regulatory compliance and asset tagging in the CMMS System
- Performs recording of meeting minutes (EOC) , routine shop meetings or educational series meeting minutes as directed, answer incoming service calls for FM Operations
- Assists with the monitoring of utility services such as water, electrical, natural gas, garbage or waste, meters, reports and energy savings initiatives
- Administers department weekly scheduling which is derived from the department leadership and places that work schedule in a printable form for other staffs work schedule
- Provide administrative regulatory support for CMS, CDPH, CHIQ, or other agency's arriving at the facility
Qualifications
- Two (2) years experience in administrative and operational duties in facilities management/construction or equivalent level of education and experience.
- Must have mechanical aptitude, have the ability & know how of small hand tools.
- Strong PC & computer systems understanding
- Strong Administrative skills.
- Strong customer relation skills
- AA degree preferred, experience may be substituted for degree
