Cadence3, founded by April Bricker, is an award winning marketing and experiences agency that focuses on assisting tech companies, particularly those within the Microsoft ecosystem, to enhance their digital presence and event strategies.
The agency is a small, Seattle-based team comprising approximately 15 full-time members and several consultants. They operate primarily remotely and value collaboration, efficiency, and continuous improvement in their work processes. Cadence 3 extensively utilizes the Microsoft ecosystem applications, platform, and devices as standard, including Office 365, Microsoft Teams, and SharePoint, in their operations.
Cadence 3 serves enterprise technology companies, including Microsoft, Samsung, and more, and is recognized for being proactive, detail-oriented, and easy to collaborate with.
Weβre looking for an Executive Business Assistant to the CEO - who must be highly organized, emotionally intelligent, and tech-savvy. This individual will support the CEO and contribute to the companyβs efficiency and clarity.
Hereβs what youβll be doing:
π Manage the CEOβs calendar, inbox, and travel.
π¨ Draft and send emails on behalf of the CEO, prepare meeting agendas and briefs, and stay proactive in anticipating daily needs.
π¬ Keep CRM records clean, send follow-ups, and support client and prospect proposals.
π₯οΈ Update internal tools such as Trello, SOPs, and shared documents.
π Coordinate gifts, thank-you notes, and internal events.
π§Ύ Assist with expense reports, light reporting, and scheduling social media posts.
π Track project timelines, organize recruiting tasks, and support internal updates.
π Assist in recruitment efforts by filtering all internal applications before sharing with the CEO and Ops Manager.
Working Hours β°: The role is full-time with flexible hours, requiring a 4β5 hour overlap with U.S. Pacific Time, ideally between 8:00amβ1:00pm PT. Core hours will be 2pmβ10pm CET.
To excel in this role, you need to have:
β 3+ Years experience supporting senior leaders or C-level executives
β Exceptional organizational skills
β Solid technical skills, especially in Microsoft Outlook, Teams, Word, Excel, PowerPoint, SharePoint, and OneDrive.
β Strong written and verbal English.
β Experience with CRMs like HubSpot, Zoho, or Salesforce
β Proactive approach and anticipation of needs.
β Detail-oriented with attention to formatting, grammar, and design.
β High emotional intelligence.
β Strong follow-through and ownership.
β Discretion and professionalism in handling confidential information.
Brownie points for:
π Experience in marketing, creative agencies, or event production.
π Familiarity with project management tools like Trello, ClickUp, or Asana.
π Light design skills using Canva, Adobe Express, or PowerPoint
π Knowledge of CRM setup, dashboard building, or workflow automation
π Experience with social media scheduling (especially LinkedIn).
π Light finance or bookkeeping support.
π Skilled document editing.
π Event coordination experience.
π Experience building scalable systems or automations.
π Natural proactivity.
