What You'll Do
Event Delivery & Planning:
- Support the operational delivery of various-sized exhibitions across EMEA
- Create and maintain show-specific project plans for review by Operations Managers
- Design and produce system-built feature areas where required
- Coordinate temporary staff both pre-show and onsite, including briefings and inductions
Resource Management:
- Create and issue POs upon request and maintain budget and invoice trackers
- Manage floor plans and address exhibitor queries
- Arrange travel and accommodation bookings in line with operational budgets
- Organize pre-show packing, equipment, and services (radios, stationery, PPE)
Coordination & Communication:
- Liaise daily with internal event teams, venues, contractors, suppliers, and exhibitors
- Create and deliver essential schedules for catering, electrics, furniture, signage, and more
- Produce comprehensive onsite documentation including staff briefings and exhibitor information
- Attend meetings as required, taking minutes and distributing action points
Quality & Compliance:
- Ensure all work adheres to company H&S, Security & Sustainability guidelines
- Assist with implementing internal and external Service Level Agreements
- Deliver operational sponsorship deliverables in cooperation with the sales team
- Contribute to post-event reporting and analysis
Qualifications
- A minimum of 1 year of professional experience/work experience
- Working knowledge of industry, venues and current appointed contractors
- Able to demonstrate a proactive approach and take initiative, anticipating needs
- Proven knowledge of exhibition H&S Guidelines and implementation.
- Computer literate and proficient in the use of commonly used business software and project management software
- Strong time management and organisational skills; can work to tight deadlines, able to prioritise and manage several different tasks at the same time
- Demonstrated ability to work independently, to meet deadlines consistently and operate within budgetary targets
- Excellent interpersonal, oral and written skills in English with additional languages highly beneficial
- You will possess a good working knowledge of the exhibition industry & venues as well as a great working relationship with all official contractors.
- Familiarity with good procurement practices
- Willingness and ability to travel / work across differing time zones especially within the EMEA region
