About the Company

Companies want to train their own large models on their own data. The current industry standard is to train on a random sample of your data, which is inefficient at best and actively harmful to model quality at worst. There is compelling research showing that smarter data selection can train better models faster—we know because we did much of this research. Given the high costs of training, this presents a huge market opportunity. We founded DatologyAI to translate this research into tools that enable enterprise customers to identify the right data on which to train, resulting in better models for cheaper. Our team has pioneered deep learning data research, built startups, and created tools for enterprise ML. This role is based in Redwood City, CA. We are in office 4 days a week.

About the Role

We are looking for a highly organized, proactive, and personable Executive Assistant & Office Manager to join our team. In this hybrid role, you'll play a crucial part in ensuring smooth day-to-day operations while supporting the leadership team. You'll be responsible for managing the office environment, coordinating key events, and helping to foster a positive and productive culture within the company.

What You'll Work On

  • Executive Support:

    • Manage leadership’s calendar, coordinating meetings with partners, investors, and team members.

    • Ensure leadership is prepared for meetings with materials, agendas, and reminders.

    • Coordinate smooth travel, accommodations, and transportation for leadership.

    • Proactively anticipate leadership’s needs by identifying potential issues or gaps before they arise and taking initiative to address them independently.

    • Manage sensitive information with the utmost confidentiality and professionalism.

  • Office Operations:

    • Assist with daily lunch orders to keep the team fueled and focused.

    • Oversee office logistics, supplies, and equipment maintenance.

    • Take ownership of making our HQ—and any future offices—feel welcoming and thoughtfully designed, from decor to creating a space that reflects our culture and values.

    • Work with vendors to maintain an efficient, organized, and well-stocked office environment.

  • Event Coordination:

    • Plan and execute internal and external events, including team-building activities, off-sites, and conferences.

  • Team Support:

    • Be the go-to person for team requests, fostering a positive and supportive atmosphere.

    • Help roll out initiatives that promote employee well-being and boost productivity.

About You

  • You have 2+ years of experience as an Executive Assistant/Office Manager, ideally in a fast-paced startup or tech environment.

  • You are highly organized with strong time management, multitasking, and problem-solving abilities.

  • You have excellent communication skills and enjoy collaborating with diverse teams to foster a positive and inclusive workplace.

  • You thrive in dynamic environments, always anticipating needs and offering proactive solutions.

  • You are tech-savvy, proficient in productivity tools (e.g., Google Workspace, Slack), and comfortable with using social media platforms for internal and external company updates.

  • You have a positive attitude, a strong attention to detail, and are passionate about creating an inclusive, thriving workplace culture.

Compensation

At DatologyAI, we are dedicated to rewarding talent with highly competitive salary and significant equity. The salary for this position ranges from $90,000 to $135,000.

  • The candidate's starting pay will be determined based on job-related skills, experience, qualifications, and interview performance.
