Responsibilities
- Organize and maintain office layout and ensure cleanliness and order in all common areas, conference rooms, and kitchens
- Inventory, order, and distribute office and kitchen supplies for local company buildings
- Manage the postage machine and shipping accounts in the main office
- Liaise with facility management vendors including cleaning, catering, and security services
- Provide general support to employees and office visitors as needed, engage with all departments in the local office
- Delegate tasks to office administration as needed
- Manage contracts and pricing negotiations with vendors and service providers
- Manage onboarding logistics for new employees, such as ordering business cards, name badges, and key fobs
- Stay aware of office seating and openings, relocations, completely coordinate office changes, new hire supplies, and ensure offices are kept presentable
- Assist the Safety Director with distribution of PPE and materials
- Manage office budgets, including expense reporting, procurement, and cost tracking
- Ensure adherence to company policies, procedures, and safety standards
- Support leadership with executive-level administrative tasks as needed
- Build relationships with local regional employees to support their requirements as needed
Qualifications
- 5+ years of office management experience, ideally in construction, engineering, or a related industry
- Proficiency in Microsoft Office Suite
- Exceptional organizational, communication, and leadership skills
- Ability to work independently and handle multiple priorities under tight deadlines
- Requires a strong ability to take the lead in this role to support the local offices
Working Conditions:
- Work is typically performed indoors out of a main office or field office at the construction site; mayrequire prolonged periods of walking through office buildings, lifting, and standing.
- Physical effort is required, including the handling of objects up to 50 pounds
- Position may require travel
- Position requires frequent, high-level of autonomy as it relates to decision-making that impactscompany results
- Hours are typical office hours with the expectation to support after office events as needed
