THE ROLE
Breakaway Music Festival is seeking a highly motivated and dynamic individual to serve as the Sponsorship Operations Coordinator. The ideal candidate will thrive in a fast paced environment, possess a proactive, self-starter mindset and also embrace a team based work ethic and have a passion for live events and Sponsorship. Based in Nashville, TN and reporting to the Vice President of Brand Partnerships and Activation, this role will be instrumental in supporting various aspects of the Brand Partnerships team ranging from administrative duties, sales support, partner relations to on-site activations.The experienced candidate will assist in executing Breakaway’s Sponsorship Operations strategy while also acting as a liaison between the Sponsorship team and brand partners, fostering and nurturing positive relationships with current and potential brand partners.
Responsibilities:
- Provide general day to day support of Sponsorship department and participate in overall Sponsorship Operations strategy
- Schedule internal and external meetings for Sponsorship team while maintaining team calendars
- Attend and participate in brand calls, recording client meeting details, documenting and tracking key elements to share and reference during each brand’s partnership execution period
- Preparing and sending brand call recaps complete with action items
- Update and maintain detailed records in Sponsorship workback documents
- Prepare enticing Sponsorship proposals tailored to brand needs, interests and budgets in a timely manner
- Draft Deal Memos and Sponsor renewal contracts based on provided templates and confirmed deliverables per discovery calls and internal team review
- Submit and track invoice requests according to contracted payment terms
- Assist Sponsorship team in tracking key dates for announcements, on-sales and deadlines
- Support Sponsorship Operations team in the full advancement process for Sponsorship activations, including collection of certificates and drawings, tracking deliverables, asset procurement, heavy equipment orders and advance forms
- Work directly with the Sponsorships team to ensure you are in lock-step when communicating with brand partners and internally across Breakaway
- Travel to festivals to support the Sponsorship Operations team, the execution of Sponsorship activations and brand partner relations
- Foster and nurture relationships with potential and existing brand partner teams by leading the sponsor relations initiatives, including creating unique gifting opportunities and specialized events
- Creation of brand fulfillment reports including inputting, tracking and reporting deliverables, analytics and content to summarize the partnership
Qualifications:
- A team player who is highly motivated, communicates well and has a desire to participate in the larger Breakaway team culture
- Pro-active, self starter who can work independently and within a team environment
- Experience in Sponsorship or Brand Partnerships in the live event industry
- Ability to build proposals, recaps and reports professionally and efficiently (Google Docs experience preferred)
- A self starter with strong organizational skills and the ability to work independently and in a team environment
- Very strong communication and interpersonal skills with an emphasis on both written and verbal communication
- Ability to speak about Breakaway with passion and excitement to new and prospective partners
- Comfortable with both receiving and providing feedback to peers and management
- Ability to thrive in a fast paced environment with non traditional work hours including weekends, and potential holidays
- Ability to travel to approximately 10+ festivals per year
- Excellent use of software programs like Google, Microsoft and project management tools such as Asana, etc.
** While this role will start as a contractor, there will be an opportunity to go full-time after this first festival season.
