Job Description
AECOM is seeking an initiative-taking Project Information Specialist to provide clerical and technical administrative support the Water Resources Department in Oakland, CA. The position will involve working with the project team, coordinating deliverables with the client, organizing meetings, and providing administrative support to the project team and staff.
Job Summary / Responsibilities
- Under general supervision, resolves most problems but refers more complex issues to higher levels.
- Processes documents (including indexing into database and/or enterprise content management system).
- May serve as document controller on various projects, uploading and downloading deliverables while maintaining the master document register.
- Maintains SharePoint document sharing sites for projects.
- Format deliverables, reports, technical memoranda to AECOM standards.
- Assists project and people managers on administrative tasks including invoicing, subcontracting, and reporting activities.
- Prepares and/or proofs correspondence, forms, spreadsheets, or documents.
- Schedules and coordinates meetings and prepare agendas and meeting minutes.
- Enter and maintain procurement data for subconsultants and equipment.
- May manage agendas/travel arrangements/meetings etc. for project teams and managers.
Qualifications
Minimum Requirements:
- Bachelor of Arts or Bachelor of Science + 2 Years of relevant experience or demonstrated equivalency of experience and/or education.
- Proficient in Microsoft 365 (Word, Excel, PowerPoint, Outlook, OneNote), and other programs to accomplish work.
- Familiar with professional office environment, practices, and procedures.

- Strong communication and organizational skills, and a high degree of attention to detail.
- Demonstrate proactive problem-solving skills.
- Strong work ethic and professional demeanor.
- Ability to multitask and work independently and in a team environment.
Additional Information

- Work in the office 3-4 days per week.
