About the role
We are seeking a highly organized and proactive individual to join our Administrative Team as an Executive Assistant. In this role, you will provide exceptional support to our Chief Human Resources Officer (“CHRO”), and key members of their team, helping to scale operations, facilitate communication both internally and externally, all tailored to the needs of the Human Resources department. You will also play a crucial role in ensuring the CHRO is well-prepared for meetings with the executive team and Directors.
As part of the administrative team, you’ll have the opportunity to contribute to key projects, embrace new communication technologies, and capture the key points and action items in meetings. The Executive Assistant contributes to the overall success of the organization by enhancing efficiency, fostering relationships, and ensuring smooth operations for their respective departments.

What you'll do
- Executive Support: Enhance the executive’s productivity and effectiveness, such as managing calendars, processing expense reports, coordinating travel arrangements, preparing and/or editing correspondence, presentations, reports and other documents as required. May also include maintaining accurate electronic records and files to facilitate easy access to information, such as the department’s SharePoint sites.
- Project Coordination: Support the CHRO and the HR team in managing projects and initiatives aligned to D-Wave's talent strategy and objectives. Assists with special projects and initiatives as assigned, providing research, analysis and support as required.
- Meeting Support: Assist in the preparation for internal and external meetings, including preparation of agendas, gathering supporting material, taking minutes, summarizing discussions, and following up on action items.
- Relationship Management: Build and maintain relationships with internal and external stakeholders, including partners and team members, serving as the primary point of contact and representing the CHRO professionally.
About You
- Proven experience as an executive assistant or similar role, supporting a CHRO.
- Excellent organizational and time management skills, with the ability to multitask and prioritize competing demands effectively.
- Clear and concise communication skills, both written and verbally, with a high level of professionalism and impeccable attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, SharePoint), project management tools, Human Resources Information Systems, and communication platforms.
- Utmost confidentiality, discretion, and care when handling sensitive information and communications.
- Ability to anticipate needs, take initiative, and problem-solve independently.
- Ability to establish and maintain relationships with key stakeholders, vendors, and partners.
- Experience in multinational organizations and understanding cultural differences.
