Job Description
The Opportunity:
OVERVIEW
This position involves processing of customer orders, and Customer Service-related work within agreed service levels.
POSITION PROFILE (Main purpose of position and interdependencies)
Intermediate level position; provide initial support customers by handling general inquiries, processing customer purchase orders, resolving issues, cross referencing, expediting, and communicating with internal teams, suppliers, customers, and sales representatives and troubleshooting basic technical related issues. The Customer Support Sr. Associate is responsible serves as a liaison with all parties and seeks to achieve customer satisfaction in every transaction.
MAJOR JOB DUTIES, RESPONSIBILITIES AND DELIVERABLES (KPIs)
- Maintains and attracts potential customers by handling inbound sales and customer communication (emails, calls) relating to service status or challenges, concerns, issues within the network.
- Handles inbound sales and customer communication (calls, emails) in the processing, expediting, and troubleshooting of customer orders.
- Owns the customer request and experience from initiation to conclusion.
- Processes, via computer, all customer requests. Utilizes multiple and often complex systems, programs, and monitors in order to research information.
- Proactively interacts with outside sales force to ensure regular communication on pricing and other customer concerns. Provides high-level, quality service, closely aligned with sales, to enable sales growth.
- Follows up with Sales Department, suppliers, and customers on any outstanding issues.
- Looks for opportunities to provide solutions.
- Makes recommendations on areas for process improvement.
- Make decisions based on policies and past precedence, seeking guidance as necessary.
- Accountable to performance metrics such as schedule adherence, productivity standards and quality standards.
The CSR will proactively place customer order and follow them through - ensuring that the delivery takes places, and the customer is invoiced correctly. Including but not limited to:
- Delivery issues,
- Delivery/billing/order blocks
- Order cancelations
- Order release
- Order Management – EDI Blocks release
- Documents Request (Cert. of Analysis, Safety Data Sheet…)
- Price enquiries
- Incoming CMD tasks (in collaboration with CMD Team)
- Samples requests and ZORI orders
- Plant check
- Replacement orders (SD)
- S20
- Specific customers with dedicated “Customer service responsibility”.
Performs other duties as assigned, ex. Trainer task, QREP, Support Analyst (Optimization)
QUALIFICATIONS (Education/training, experience, and certifications)
- High School Qualification plus 3+ years of experience in a fast paced, customer focused environment.
- Degree level education within science is advantageous.
- Experience in interacting with customers, manufacturers, and colleagues.
- Language skills: Fluent in oral and written English/French & a third language is a plus (German, Spanish, Italian, Portuguese, Norwegian, Swedish, Danish or Finish) depending on project requirements not necessarily language dependent in all projects.
- Ability to effectively utilize technology platforms including SAP and CRM Tools.
- Strong PC skills with a working knowledge of MSOffice365.
KNOWLEDGE SKILLS AND ABILITIES (Those necessary to perform the job competently)
- Must demonstrate working knowledge of personal computer applications, such as
Microsoft Word, Excel, Access, and Outlook
- Excellent customer service skills (friendly, courteous, and helpful)
- Excellent communication skills both verbal and written
- Strong customer orientation
- Strong analytical & problem-solving skills
- Willingness to work in shifts as per business requirements
- Good decision-making skills
- Ability to learn Avantor terminology
- Ability to evaluate customer needs, and respond with appropriate action/delivery
