Located in the Phoenix, Ariz., suburb of Chandler, the Chandler Regional Medical Center is a 338-bed, not-for-profit hospital with more than 2,500 employees and almost 1,000 doctors on staff representing all major specialties. Chandler Regional joined the Dignity Health system in 1999, but has been part of the community for more than 50 years. Responsibilities

Scheduling Oversight and Coordination

  • Supervise the centralized scheduling team responsible for booking appointments across all outpatient service lines.
  • Ensure consistent scheduling protocols are followed across departments.
  • Optimize appointment templates and scheduling rules to reduce gaps and maximize throughput.
  • Monitor real-time scheduling metrics (e.g., no-show rates, cancellations, delays).

Collaboration with Clinical Departments

  • Partner with department leads (Radiology, ATU, Endoscopy, Cardio Diagnostics) to understand service capacity, provider availability, and clinical prep requirements.
  • Coordinate scheduling adjustments during equipment downtime, staff shortages, or high patient volumes.
  • Ensure pre-authorization, pre-procedure prep, and patient readiness are communicated effectively.

Patient Experience and Access

  • Ensure that patients are scheduled promptly and accurately, with minimal wait times.
  • Oversee communication with patients regarding appointment prep, arrival times, and procedure expectations.
  • Resolve scheduling conflicts or complaints and support patient-centered care.

Operational and Workflow Management

  • Implement standardized scheduling procedures using hospital scheduling software (e.g., Epic, Cerner).
  • Evaluate and refine workflows for scheduling efficiency and error reduction.
  • Monitor turnaround times and report key performance indicators (KPIs).

Staff Management and Development

  • Hire, train, and supervise scheduling coordinators and call center staff.
  • Conduct regular audits for quality assurance and process compliance.
  • Promote cross-training and development to ensure coverage across all service areas.

Regulatory and Compliance Oversight

  • Ensure scheduling processes align with HIPAA privacy standards and payer guidelines.
  • Collaborate with compliance and finance teams to ensure accurate billing and authorization.

Data Analysis and Reporting

  • Analyze appointment patterns, capacity utilization, and patient flow trends.
  • Prepare regular reports for department leadership on access issues, bottlenecks, and improvement opportunities.
