The Manager, Post-Award is responsible for the timely and compliant account setup within Cayuse, transaction review, budget management, and closeout of sponsored projects (i.e., the RedZone), collaborating with principal investigators, colleagues within the Offices of Research Support Services (i.e., the Research Administration Center of Excellence [RACE], the Office of Research Administration [ORA], Jefferson Clinical Research Institute {[JCRI], Finance (i.e., Sponsored Programs Accounting [SPAO]}), department administrators, and auditors. This role manages critical operational functions, including subaward financial management, , audit preparation and response (specific to the subawards responsibility), system implementation support, and professional development activities in collaboration with the Associate Director, Post-Award/Training. The Manager, Post-Award drives continuous improvement by developing/maintaining operational metrics specific to subaward financial management that enhance compliance and financial stewardship. Strategic problem-solving, sound judgement, and the ability to foster a collaborative, compliance-driven environment are essential to success. This position requires a comprehensive understanding of research administration and a commitment to supporting the institution’s research mission with excellence and integrity.

  • Job Summary

    The Manager, Post-Award plays a critical leadership role within the Office of Research Support Services (ORSS), providing strategic oversight of post-award financial management and subaward compliance. Reporting to the Sr. Associate Director, Post-Award, this position ensures effective post-award administration by applying complex federal, state, local, and non-profit sponsor requirements, as well as institutional policies and procedures, while consulting with the Sr. Associate Director, post-award, as needed. The Manager, Post-Award exercises broad decision-making authority to resolve complex issues, approve expenditures, oversee subrecipient monitoring, and aid in guiding the financial and administrative management of sponsored projects across departments.

    Essential Functions

  • Manage post-award financial management activities for a diverse portfolio of sponsored projects, ensuring compliance with all sponsor and institutional requirements, while consulting with leadership as appropriate.
  • Exercise independent authority to review, approve, or escalate transactions, including Payroll Costing Allocations/Payroll Accounting Adjustments, cost transfers, Professional Services Agreements, grant extensions, and significant effort reductions.
  • Oversee the effort reporting function to ensure complete accuracy and in collaboration with the Sr. Associate Director, post-award, ensure full federal compliance, collaborating with internal stakeholders and ensuring timely certification.
  • Serve as the primary institutional authority for subaward financial audits (i.e., Uniform Guidance, OIA, sponsor, internal), leading audit processes specific to this area, and, in collaboration with ORSS leadership, preparing responses, and mitigating findings.
  • Establish sponsored project accounts within Cayuse by thoroughly reviewing award terms, conditions, budgets, cost-sharing obligations, F&A rates, and compliance requirements.
  • Manage a personal portfolio of research accounts, conducting detailed financial monitoring, budget updates, continuations, extensions and timely financial closeouts.
  • Monitor monthly financial statements for assigned accounts, identifying and proactively addressing budget overruns, delayed expenditures, and cash flow concerns through regular meetings with administrators, and when necessary, faculty.
  • Prepare and present comprehensive monthly metric reports for senior management, offering actionable insights and strategic recommendations based on financial data and trends.
  • In collaboration with the Associate Director, Post-Award/Training, lead the training and oversight of subaward financial management tasks across the post-award team, identifying development needs and ensuring consistent application of best practices.
  • Contribute to the development/refinement of post-award financial and compliance policies, procedures, and tools, optimizing operational efficiency and ensuring alignment with regulatory standards.
  • Actively participate in system implementations, upgrades, and process improvement initiatives to enhance research administration operations

    Minimum Education and Experience Requirements:

    Education:

    Bachelor’s degree required. Business Administration/Management or equivalent, preferred

    AND

    Experience:

    5+ years of progressive experience in research administration, with substantial expertise in post-award financial management, subaward compliance, and effort reporting.

    Previous supervisory, team leadership, or mentoring experience preferred.

    Computer skills in a PC/Windows environment, including MS Word, Excel, and PowerPoint, demonstrated by application materials and previous experience.

    Excellent written communication skills and attention to detail, as demonstrated by application materials.

    Experience working with federal, state, and private sponsor regulations (e.g., NIH, NSF, OMB Uniform Guidance)

    Demonstrated experience with financial audits, compliance, and risk management related to sponsored programs.
