Therapeutic Health Services (THS) is seeking a highly skilled and mission-driven Chief of Staff to join our Executive Office. This strategic leadership role provides direct support to the CEO, driving organizational efficiency, overseeing internal operations, and managing cross-functional initiatives. The Chief of Staff will lead our Support Services Department, coordinate all facility management, and oversee agency-wide travel and accommodations—including management of THS One condominiums.
Requirements
Executive Support to CEO
- Provide heavy calendar management and phone coordination for the CEO, ensuring optimal use of time and alignment with organizational priorities.
- Coordinate, schedule, and confirm all internal and external meetings for the CEO, including participants, locations, technology, and materials.
- Prepare comprehensive briefing documents, agendas, and presentations for meetings and events.
- Draft, edit, and finalize emails, memos, reports, and presentations on behalf of the CEO.
- Monitor and track CEO projects, flagging deadlines, providing background information, and ensuring timely follow-up on tasks and initiatives.
Organizational Administration & Communication
- Serve as a key contact for internal information systems and document management processes, ensuring files and records are organized and accessible.
- Act as a liaison between the CEO and internal departments, ensuring timely communication and execution of cross-functional initiatives.
Support Services & Facilities Oversight
- Provide leadership to the Support Services Department, including reception, administrative support, IT coordination, transportation, and office operations.
- Manage all agency facilities and office spaces, overseeing maintenance, renovations, lease negotiations in collaboration with the Executive team, safety compliance, and vendor relationships.
- Coordinate space utilization across all locations and develop contingency plans for repairs or emergency scenarios.
Travel & Accommodations Coordination
- Manage organizational travel logistics including booking transportation, lodging, and event registration for all departments and leadership staff.
- Ensure agency travel policies are followed and expenses remain within budget.
THS One Condominium Management
- Oversee day-to-day management of the THS One Ambassador condominiums, including leasing, maintenance coordination, and tenant relations.
- Ensure all housing operations are compliant with regulatory requirements and property management best practices, while working with the City.
Board and Leadership Meeting Coordination
- Attend and support monthly Board of Directors and Executive Committee meetings.
- Record and distribute meeting minutes to the Board Secretary for review and approval.
- Coordinate meeting logistics including CEO’s monthly reports, agenda development, supporting documentation, and board packets.
- Set up meeting rooms and refreshments; manage food purchasing requests and vendor coordination.
- Support the Board Secretary in tracking member attendance, demographics, and terms of service.
MINIMUM QUALIFICATIONS:
- Bachelor’s degree in a business field plus five years of senior administrative experience
- Proven ability to manage high-level executive support functions with exceptional attention to detail.
- Experience in project coordination, facilities oversight, and board/governance processes.
- Excellent written and verbal communication skills.
- High level of professionalism, discretion, and emotional intelligence.
Preferred Qualifications:
- Strong multitasking and prioritization abilities in a fast-paced environment.
- Proficiency with Microsoft Office, Google Workspace, and project management tools.
- Experience with nonprofit governance, facility compliance, and public health regulations.
- Alignment with the agency’s mission, values, and commitment to behavioral health equity.
