Job Description
The Operations Support Assistant is a pivotal member of our Home Office team, responsible for driving operational efficiency and providing comprehensive support to Operational and Senior Leadership. This role acts as a central coordinator for key business processes, projects, and communications, ensuring the smooth execution of day-to-day operations. The ideal candidate is a proactive problem-solver who can manage administrative duties while also contributing to process improvement and the overall success of our Home Office operational goals.
Key Responsibilities:
- Serve as a key point of contact for operational inquiries, liaising between departments to ensure seamless information flow and project execution.
- Track key operational projects and initiatives, providing status updates to leadership and helping to ensure deadlines are met.
- Maintain and update internal process documentation, guides, and SOPs.
- Support travel coordination and calendar management for leadership.
- Compile, manage, and maintain key operational data, ensuring accuracy.
- Prepare and distribute regular reports and summaries on business activities, key performance indicators (KPIs), and project statuses for management review.
- Assist with invoicing, expense reporting, and data entry tasks, supporting accounting.
- Provide high-level, confidential administrative support to the COO and other senior leaders.
- Screen incoming communications on behalf of senior staff, determine priority, and draft or distribute correspondence as appropriate.
- Schedule, prepare for, and attend key meetings; take detailed notes and distribute meeting minutes and action items to attendees.
- Oversee general office functions, including managing vendor relationships, and ordering supplies to ensure a productive work environment.
Qualifications
Experience:
- Minimum of three (3) years of experience providing administrative and operational support to executive leadership.
- Proven experience in a multi-site organization, offering administrative support across different locations.
- Demonstrated expertise in arranging and managing complex travel plans for multiple executives.
- Prior experience representing leadership through professional written and verbal communication.
Skills & Abilities:
- 2+ years of experience in an administrative, executive assistant, or operations support role.
- A Bachelor's degree in Business Administration, Operations, or a related field is preferred.
- Proficiency with Google Workspace and ability to quickly learn new software.
- Exceptional organizational skills with a keen attention to detail and a proven ability to manage multiple priorities and meet deadlines.
- Excellent verbal and written communication skills, with the ability to interact professionally and effectively with all levels of internal and external stakeholders.
- Demonstrated ability to function well in a high-paced and at times stressful environment, maintaining a positive and proactive attitude.
- Strong analytical and problem-solving skills with a continuous improvement mindset.
