Job Description
Position Summary
The Front Desk Receptionist and Test Proctor supports the Admissions Department by managing daily front office operations and ensuring a professional, welcoming environment for visitors and prospective students. This role includes exam proctoring, appointment coordination, data tracking, and general administrative support. The ideal candidate is a self-starter who thrives in a team-oriented environment, demonstrates excellent customer service skills, and maintains a high level of organization.
Essential Functions:
- Manage the reception area to ensure effective internal and external communications and maintain a professional image.
- Proctor admissions and make-up exams in a secure and distraction-free environment.
- Gather, organize, and maintain data related to Admissions activities and applicant files.
- Review and summarize reports to identify trends and keep department leadership informed.
- Maintain both electronic and physical files for incoming cohorts, tracking required documents and following up as needed.
- Assist in planning, coordinating, and implementing department meetings and special events.
- Take accurate meeting minutes and distribute them to appropriate stakeholders.
- Coordinate scheduling and appointments for department leadership.
- Provide backup support to the main reception desk as needed.
- Participate in special projects and perform other related duties as assigned.
Qualifications:
- High School Diploma or equivalent required.
- Demonstrated excellence in customer service and interpersonal communication.
- Strong computer skills, with proficiency in Microsoft Word and Excel.
- Excellent written and verbal communication skills.
- Working knowledge of office procedures, protocols, and equipment.
- Strong organizational skills with the ability to manage multiple tasks under strict deadlines.
- Detail-oriented with the ability to handle confidential information responsibly.
- Ability to work independently while contributing to a collaborative team environment.

- Must be able to lift, carry, or move items weighing up to 10 pounds as needed.
