Job Description:

Job Overview

The Assistant to the Director and Office Manager provides comprehensive administrative support to the Director of the University Laboratory School, including but not limited to: managing schedules, communications, and various projects. This position serves as a key liaison, ensuring effective and efficient operations of the administrative and front office. In addition, this position will serve as the main point of contact and manager of the school's admissions process. 

Job Description

Administrative Support – 50%

Act as first point of contact for the Director’s meetings with faculty, staff, parents, university officials and other ULS stakeholders; Collaborate with ULS faculty, staff, parents and other stakeholders to plan events, ensuring the Director’s role is properly positioned; Schedule all appointments and meetings for the Director; proactively manage the calendar to include requirements for the Director’s external activities, including stakeholder relationships and community events; Maintain a record of the annual cycle of events related to the Director’s administrative position; Ensure that the Director is fully briefed and prepared in advance of all internal and external appointments, meetings and calls, and is aware of priority matters; Manage the Director’s correspondence; direct communications as appropriate to the Director’s support staff for action or faculty/staff-wide for information; Think critically in unexpected situations to assess what needs to be completed and prioritize tasks effectively; Assist with large-scale events planned by ULS Administration; including but not limited to corresponding with attendees, monitoring registration, coordinating venue and food services, set-up of facilities; Create and manage systems to organize and file all forms of documentation, action requests, and

follow-up to completion

Operational Support and Supervision – 20%

Oversee the management of the school’s front office to ensure effective and efficient daily operations; Serves as the administrative liaison to the various school boards, councils, and parent groups (i.e. ULSF, Cub Club)

Enrollment Management – 20%

Creates a strategic vision for admissions policies, procedures and implementation; directs and articulates ULS’s message, academic programs, extracurricular opportunities, admissions policies, criteria & procedures by maintaining communication with prospective students & families, & participating in all phases of the holistic application process including application processing, review & admission decisions; monitors files for completeness, ensuring accurate & fair decisions, fields questions from applicants, and notifies reviewers of significant exceptions requiring review; oversees the design, planning, and implementation of all on and off campus admission events; provides regular admission status updates to key personnel; communicates transfer admission statuses with other school systems; develops & maintains website as it relates to admission procedures; collaborates with administration and student support offices to develop campus programming, including open houses & campus tours to orient students to the ULS campus; fosters an environment in the Admissions Office that responsive to prospective students' concerns and needs by providing excellent customer service and professionalism

Minimum Requirements

Bachelor's Degree in a related field

3 years of successful administrative experience

This position and/or position's responsibilities require work directly with minors. Fingerprinting and a National Sex Offender Registry check are required per FASOP HR-04.
