Job Description
The Specification Coordinator is responsible for leading cross-functional collaboration to support the review, maintenance, and updating of finished product and ingredient specifications. This role will work closely with stakeholders across Product Development, Food Safety, Quality Assurance, and Regulatory Affairs to manage documentation and project timelines, ensuring specification updates are executed accurately and on schedule. Must be flexible to changing business requirements.
Essential Duties and Responsibilities:
Cross-Functional Collaboration & Communication
- Collaborates effectively with project leaders, colleagues, and subject matter experts to resolve issues and drive projects forward.
- Coordinates with a variety of stakeholder teams to support specification updates.
- Engages with third-party vendors and internal stakeholders clearly and professionally.
- Ensures timely communication of key information among team members, supervisors, and stakeholders.
- Participates in meetings and conference calls, contributing updates and insights.
- Establishes and maintains professional rapport with colleagues.
- Responds promptly to emails and phone calls.
Specification & Data Management
- Oversees the review, maintenance, and updating of finished product and ingredient specifications.
- Gathers, validates, and aligns critical data from internal and external partners.
- Maintains and updates documentation in accordance with business rules and compliance standards.
- Organizes and maintains digital and physical files for corporate records and team sharing.
- Reviews documentation for accuracy and compliance following established business rules.
- Identifies gaps or missing information and communicates to appropriate contacts.
- Drafts and reviews data analyses and documentation for supervisor or project leader review.
Project & Process Execution
- Manages documentation and project timelines to ensure timely and accurate specification updates.
- Completes and submits work for review in a timely manner to meet project deadlines.
- Executes tasks and next steps as defined by established processes and client-specific rules.
- Follows SOPs and best practices with minimal supervision.
- Performs other duties as assigned to support team and organizational goals.
Systems & Tools
- Utilizes Product Lifecycle Management (PLM) systems and other specialized software to support data entry, tracking, and reporting of specification data.
Continuous Improvement & Learning
- Contributes to process improvement initiatives by identifying opportunities to streamline workflows.
- Stays informed on industry trends, relevant literature, and regulatory updates.
- Seeks out information and resources to complete tasks efficiently and accurately.
Professionalism & Compliance
- Demonstrates and promotes the company vision in all tasks and interactions.
- Conducts all activities in a safe and efficient manner, adhering to company safety protocols.
- Demonstrates reliability through regular attendance and punctuality.
Qualifications
Education Minimum Required:
- Bachelor’s degree in food science/technology, engineering, science, quality, data science or related field. Work experience may be substituted for education.
Experience Minimum Required:
None, data management and compliance experience a plus
Additional Information
Shift: On- Call
Pay Range: $30- $45 based on experience.
