The Office Support Coordinator is responsible for managing day-to-day tasks with competence and flexibility, responding adeptly to sudden changes and unexpected events. This person will independently manage the overall office organization in our Berlin location, working closely with the global office team. The Coordinator will establish internal office processes, ensuring they are executed efficiently and in compliance with safety standards. Detail-oriented, responsive, and hands-on, the Office Support Coordinator contributes to a positive working atmosphere through the careful and efficient execution of tasks.
Key Responsibilities:
Office Operations Support:
Assist with daily office tasks such as mail and package handling, inventory replenishment, workplace maintenance, and general office organization.
Support the monitoring and compliance of health and safety standards within the office.
Facilities and Vendor Coordination:
Facilitate coordination with local service providers for services such as coworking spaces, shipping and storage, cleaning, catering, plants, and snacks.
Report issues and follow up on service requests to ensure timely resolutions.
Office Events Management:
Assist in organizing and executing internal and external company events within the office and team meetings.
Coordinate with catering providers and support logistics, including room preparation, material procurement, and clean-up, while adhering to budget guidelines in collaboration with Office Support Team members at other locations.
Support Technology and Equipment Maintenance:
Oversee the general functionality, cleanliness, and supply levels in the office.
Identify and report maintenance issues, collaborating with the IT department and relevant teams and vendors to ensure efficient resolutions without disrupting workflow.
You help keep things running smoothly by monitoring internal requests through Jira, Slack, or Email, making sure tasks are handled quickly, whether solving them yourself or coordinating with the global team. You also support with onboarding and offboarding logistics when needed.
Qualities we look for
Strong organizational skills with a keen attention to detail.
Excellent communication and interpersonal skills.
Ability to remain calm and effective in high-pressure situations.
Proficiency in office software and tools (e.g., Microsoft Office, Jira, Slack).
