What You’ll Do:
As the Executive Assistant to the CEO, you’ll be the engine that keeps everything running smoothly:
Own the CEO’s schedule and inbox – Ensure their time is laser-focused on high-impact tasks that drive the business forward.
Be the glue for the team – Coordinate and organize the team, making sure everyone stays aligned and focused on the company’s top priorities.
Assist running daily operations – Oversee administrative tasks to ensure everything runs like a well-oiled machine.
Drive key projects – Both personal and business-related. You’ll be the one ensuring completion and results.
Assist in HR coordination – Streamline the hiring process and support HR initiatives to help build a top-performing team.
Financial admin support – Handle light financial tracking and reporting to keep the CEO informed and in control.
Grow into a leadership role – You’ll act as the CEO’s right hand, with opportunities to take on more leadership responsibilities as the role grows.
Requirements (Must Haves):
Executive Assistant (3+ Years) - Do NOT apply if you do not have at least 3 plus years experience working in an executive assistant capacity.
English (Fluent/Native) - You must be exceptional in spoken verbal English. Due to the high level of customer and phone activities required. You must present and communicate with fluent English. You will call upset customers in this role. You will call customer service lines, banks, and this is a MUST.
Quality Microphone Audio & Webcam Video - Ensure you have an extremely clear audio (noise-reducing) and A/V set up for conference calls.
High Attention to Detail - If you frequently miss small details you will fail in this role. You must be highly detailed and quick to recognize and catch a high degree of details.
Consistent & Reliable - You must be someone who is emotional and physically capable of maintaining a heavy workload and being able to work on (US-Chicago CST). Do not apply if you want work-life balance, or this schedule is not conducive to your personal life. This role is for hungry, ambitious growth-oriented career candidates who are all-in on their career.
Self starter (Critical) - Your default mode is getting things done and you overcome obstacles and challenges and thrive working in a self-directed manner without much guidance.
Anticipating Needs - You must be able to anticipate needs of the executive team. Be able to anticipate
Problem Solving - Must be extremely comfortable and skilled in solving problems, researching, using Diagrams, (e.g. LucidChart) LLMs (ChatGPT, Perplexity) to mind map, discuss, clarity and architect solutions and options as well as reasoning behind problems
Project Management - The path from this role is either into an operations manager or strategic chief role. In either case you must possess experience and skills to execute projects and motivate other parties to get buy-in and successful initiatives completed.
Discretion, and professional, especially with sensitive confidential information
Financial Basics - Basic accounting fundamentals, know what a P&L/income statement, and a cash flow summary statement are and how to read them. Ideally the difference between accrual and cash accounting (critical in ecommerce)
Slack, ClickUp, Notion, Airtable or Equivalent - Online communication, PM and knowledge base experience working with, organizing and tweaking these tools.

Ecommerce Experience - Direct experience working in ecommerce will transfer well to this role as we are doing exactly that..

Remote Culture Experience - Experienced working remotely. Back to the quality A/V and presentation when on web calls and communicating with the team.

Compensation—$7-$12/hr salary paid twice monthly, with room for growth.

Starting part-time 20 hrs / week quickly ramping to full-time within 60-90 days per week.
