Department Summary
The Grants and Contracts Associate will report to the Director of Grants Management. The Grants and Contracts Associate is a key member of the Finance & Grants Team within the larger Finance & Administration Department at ClimateWorks. The department is responsible for all finance and accounting functions, effective grantmaking, and facilities management, and collaborates routinely with all teams and departments at ClimateWorks.
Job Summary
The Grants and Contracts Associate supports and coordinates grants and contracts administration processes. He/she/they work in a dynamic environment requiring detail-oriented, independent, and professional work. He/she/they will coordinate closely with others on the Finance & Grants Team and the grantmaking teams to ensure smooth dissemination and administration of grants and contracts and accuracy of information.
Essential Tasks
The Grants and Contracts Associate will be responsible for the following and other duties as assigned:
Grants and Contracts Administration
- Maintaining up-to-date grant and contract records and organized electronic files, ensuring data integrity throughout the system
- Maintaining robust grant and contract documentation files, including records of financial review, approvals, outstanding reports, and related communications
- Executing no-cost extension requests on current grants and contracts
- Drafting and sending grant award letters and contracts, sending reminders according to established policies and procedures, and activating them once returned
- Coordinating with contract leads and the Accounting Team on contract closures and modifications
- Providing other grant and contract processing-related assistance as needed
Additional Tasks
- Running request status reports twice weekly and as needed
- Monitoring the processing queue, assigning requests and tasks to relevant parties
- Executing disbursement requests and coordinating with the Accounting Team on disbursement-related inquiries
- Assisting with amendment-related tasks, as needed
- Troubleshooting grants management system–related issues and responding to inquiries
- Assisting with the coordination of cross-team and organization-wide communication
- Contributing to other tasks and projects, as needed
Required Qualifications
- Bachelor’s degree or equivalent work experience
- 2+ years of relevant work experience
- Experience maintaining a database
- Excellent attention to detail
- Strong organizational skills, with ability to juggle multiple priorities in a fast-paced environment
- Strong analytical and problem-solving skills
- Ability to follow through on open issues and work effectively with a diverse group of staff, partners and vendors in a service-oriented manner
- Proficiency in Microsoft Excel and Outlook
- Commitment to the mission of ClimateWorks
- Ability to work effectively and efficiently (both virtually and in-person) with minimal supervision
- A commitment to a diverse, inclusive and equitable work environment

Compensation
ClimateWorks offers an excellent benefits package and a competitive salary that is commensurate with experience (geographic differential applied based on location)
Salary Range (Bay Area / NYC): $80,000 - $85,000 annually
Salary Range (Other US): $75,000 to $80,000 annually

Location
ClimateWorks Foundation is based in the San Francisco Financial District. This position is classified as US Flexible. Exceptional candidates can work from the SF office or from other locations, geographic differential applied to compensation based on local cost of labor.
