About the Role
The Personnel File Compliance Specialist ensures that all staff personnel files and compliance-related training meet regulatory and accreditation standards. This role conducts regular audits, manages remediation workflows, and prepares files for surveys and audits as well as presents the contents and summaries of files to surveyors. You will also oversee compliance-related training tracking and crosswalk maintenance across multiple states. The ideal candidate is detail-oriented, experienced in healthcare HR compliance, thrives in a fast-paced, highly regulated environment, and eager to interact with auditors and surveyors.

Responsibilities
- Conduct recurring audits of personnel files to ensure regulatory and internal compliance
- Remediate non-compliant documentation and manage follow-up workflows
- Prepare and submit personnel files for audits, surveys, and regulatory reviews for entities such as The Joint Commission, state licensing agencies, and payors
- Lead the synchronous presentation of files to surveyors and oversight bodies
- Maintain and update compliance training crosswalks across states and roles
- Monitor training completion data and disseminate updates to key stakeholders
- Liaise with Clinical Onboarding, HR Compliance, Clinical L&D, and Talent teams to complete project based work and ad-hoc requests
- Collaborate with our HRIS and LMS based teams to improve documentation flow and accuracy
- Identify and implement process improvements related to personnel file and training compliance
- Respond to other requests for personnel information that the department receives.
Requirements
- Bachelor’s Degree required or equivalent in experience, ideally in HR, People Operation, HR Operations or Policy
- 1 year HR or People Ops experience required.
- Experience in a healthcare setting is required.
- Excellent verbal and written communication skills.
- Ability to maintain strict confidentiality.
- Detail-oriented.
- Outside the box thinker; excellent at problem solving.
- Microsoft Office and Google Suite proficiency.
- Excel / G-Sheet and/or HRIS (Human Resource Information System) and LMS (Learning Management System) experience highly preferred.
- Strong interpersonal, relationship-building and listening skills, with a natural, consultative style.
- Ability to energize, communicate, and build rapport at all levels within an organization and with external auditors and surveyors.
- United States and native or bilingual English proficiency
- Please note that members of this team who live within 45 minutes of a Charlie Health office are expected to adhere to a hybrid work schedule.

The total target base compensation for this role will be between $66,000 - $85,000 per year at the commencement of employment. In addition to base compensation, this role also offers a performance bonus. The expected total cash compensation range, including potential bonus, will be between $69,000 - $89,000 per year. Please note, pay will be determined on an individualized basis and will be impacted by location, experience, expertise, internal pay equity, and other relevant business considerations. Further, cash compensation is only part of the total compensation package, which, depending on the position, may include stock options and other Charlie Health-sponsored benefits.
