Position Summary

The Junior People Partner, Payroll & Benefits is responsible for managing end-to-end payroll processing across multiple countries, payment cycles, and worker classifications while also providing comprehensive benefits administration support. This role ensures accurate and timely payroll execution, compliance with tax regulations, and effective employee benefits coordination. The position requires meticulous attention to detail, strong technical skills, and the ability to manage multiple deadlines in a complex global environment. As a member of our People Operations team, this role will serve as a key resource for employees on payroll and benefits matters. This role reports to the Director of People Technology and Operations with indirect reporting to the People Partner, Health & Benefits.

Key Responsibilities

Global Payroll Administration (40%)

  • Manage bi-weekly US payroll processing through Rippling payroll system, ensuring compliance with deadlines and accuracy of all entries

  • Process international payroll through Employer of Record (EOR) platform for multiple countries including Spain, UK, and Canada, adhering to country-specific timelines

  • Oversee payment cycles for contractors on both monthly and semi-monthly schedules

  • Verify timecard entries and process employee status changes (full-time, part-time, intern, etc.)

  • Handle employment transitions and special pay cases across all employment types

  • Coordinate with managers to resolve timecard discrepancies and ensure accurate time reporting

  • Audit bi-weekly totals to ensure proper overtime tracking and PTO accuracy

  • Process and verify retroactive pay adjustments as needed

  • Manage severance payment processing

  • Support bonus administration and payment processing

  • Process payment and tax adjustments for other bonuses, relocation reimbursements, and separation payments

  • Coordinate off-cycle payment requests when required and additional special pay reporting to retirement vendor

  • Maintain payroll and benefits reporting to finance

  • Support the planned transition from PEO to ASO model

Benefits Administration (25%)

  • Support and maintain benefit plan configurations in the Rippling system

  • Monitor automated benefits enrollment processes for accuracy and troubleshoot issues

  • Serve as the technical liaison between Rippling and benefit carriers to ensure proper data transmission

  • Audit benefits data to verify proper deductions and enrollments

  • Reconcile monthly carrier bills against payroll deductions to ensure accuracy

  • Support annual open enrollment process by ensuring system readiness and accurate plan setups

  • Prepare benefits-related communications and documentation for employees

  • Monitor benefits eligibility changes and verify system handling of these events

  • Ensure proper taxation of benefits (taxable vs. non-taxable) within the payroll system

  • Generate benefits utilization and cost reports for management review

  • Maintain benefits administration documentation and standard operating procedures

  • Research and address employee benefits questions that require system or administrative expertise

  • Support implementation of new benefit programs or changes to existing offerings in Rippling

Compliance & Audit Management (15%)

  • Establish and maintain payroll tax accounts, particularly during and after the PEO to ASO transition

  • Verify proper payroll related tax forms are filed with all required jurisdictions. Obtain copies of filings and match totals to our own payroll records

  • Ensure that all workers comp filings and payments are complete and accurate and up-to-date in all the required jurisdiction. Perform the necessary, callback and communications to these jurisdictions

  • Conduct regular internal audits to ensure minimum wage compliance across multiple states

  • Monitor and document state-specific wage and hour regulations, maintaining tracking systems for minimum wage requirements across multiple jurisdictions

  • Collaborate with People Operations team on required filings

  • Ensure proper tax treatment of various compensation types

  • Support year-end tax processes including payroll auditing for final wage reporting for W2

  • Research and resolve tax-related discrepancies

  • Document compliance processes and maintain audit-ready records

  • Support annual financial statement audits

Employee Support & Engagement (15%)

  • Serve as a knowledgeable resource for employees regarding payroll and benefits questions

  • Develop and maintain educational resources to help employees and managers understand payroll processes and benefits offerings and state-specific requirements

  • Provide clear and timely responses to employee inquiries

  • Identify opportunities to improve employee experience related to payroll and benefits

  • Support employee onboarding processes related to payroll and benefits enrollment

  • Create and deliver periodic communications about relevant payroll and benefits updates

  • Collaborate with other People team members to ensure consistent employee support

  • Maintain a high level of confidentiality and professionalism when handling sensitive information

Additional Responsibilities (5%)

The People Partner, Payroll & Benefits Operations may be asked to perform additional duties not specifically outlined above to support the overall success of the People Operations team and organization. This role requires flexibility and adaptability to meet evolving business needs and priorities. The ideal candidate will approach new challenges with a positive attitude and a willingness to learn and grow with the position.

Requirements

Education & Experience

  • 3+ years of experience in payroll administration, preferably in a multi-state or global environment

  • 2+ years of experience in benefits administration

  • Experience with wage and hour compliance across multiple states

  • Experience with PEO and ASO payroll models strongly preferred

  • Experience with Rippling or similar HRIS/payroll platforms

  • Experience with payroll tax account management

  • Benefits administration experience, including understanding of compliance requirements

  • Experience creating resource guides/FAQ for internal distribution (employee & manager)

  • Knowledge of international payroll regulations is a plus

  • Background in conducting compliance audits a plus

Technical Skills

  • Proficiency with HRIS and payroll systems (Rippling experience preferred)

  • Strong Excel/spreadsheet skills for reporting

  • Ability to learn and adapt to new systems quickly

  • Understanding of payroll tax requirements and filings

  • Familiarity with benefits administration platforms

  • Experience with data validation and auditing techniques

  • Basic understanding of SQL or reporting tools a plus
