Office Manager & Executive Assistant
Job Description
We are looking for a proactive Office Manager & Executive Assistant to join our HR team and help drive a culture of engagement, belonging, and efficiency. Based in our NYC office, you’ll manage daily operations, ensure a productive workspace, and deliver a seamless employee experience.In this dual role, you’ll also support our CEO and our executive leadership with high-level administrative tasks, including calendar management, travel coordination, and confidential communications.
You’ll be part of the HR team and collaborate closely with IT, Facilities, and leaders across the company to create an exceptional day-to-day experience for employees and executives alike.
Responsibilities:
Daily Operations
- Manage day-to-day office operations, including supplies, equipment, and general upkeep.
- Maintain relationships with office vendors (e.g., supplies, cleaning, facilities).
- Ensure the office is functional, welcoming, and optimized for productivity.
- Coordinate maintenance and repair needs with internal stakeholders or external vendors.
- Work with leadership to plan and execute space layout changes based on team growth and needs.
Resource & Budget Management
- Manage office budgets and track expenditures, identifying cost-effective solutions.
- Maintain and reorder inventory to ensure availability of supplies.
Executive Assistant Support
- Provide high-level administrative support to executive leadership (e.g., CEO and other Executive Leadership Team members)
- Master calendar orchestration across time-zones; draft and proof high-stakes email, investor comms, board materials and travels
Onboarding
- Own the onboarding process to ensure a smooth and engaging new hire experience.
- Send welcome communications and coordinate first-day logistics.
- Partner with IT to ensure workstations are fully set up before arrival.
- Schedule onboarding sessions with internal trainers.
Engagement & Well-Being
- Develop and lead initiatives to foster employee engagement, well-being, and community (e.g., team-building, wellness programs, volunteering).
- Assist teams in identifying and booking team-building activities.
- Act as a trusted point of contact for employee feedback, suggestions, and concerns.
- Collaborate with the Employee Experience Manager in Israel to align and plan global initiatives.
Requirements
- 3-6+ years of combined Office Management and Executive Assistant experience in high-growth tech/SaaS industry.
- Strong organizational and multitasking skills with keen attention to detail.
- Excellent interpersonal and communication skills.
- Proactive, resourceful, and solutions-focused mindset.
- Ability to collaborate across departments and geographies.
- Experience managing budgets and vendor relationships is a plus.
